Optimizes the use of physicians' and other health care providers' time and resources by performing a variety of secretarial tasks. Depending on the specific assignment, tasks may include transcribing medical or non-medical dictation and correspondence; maintaining physician calendars; coordinating patient appointments; scheduling trips; answering telephones and providing related follow-through; maintaining the medical record; filing; preparing reports, meeting minutes, and presentation materials; and processing membership dues and continuing medical education information. Serves patients and office team by greeting and helping them; scheduling appointments and medical tests; obtaining preauthorizations; maintaining records and accounts. Receives direction from and reports to Office Supervisor, department/work unit supervisor, physician, or other health care provider, as appropriate. Maintains effective working relationship with a variety of individuals throughout the institution and may have contact with persons outside Mayo as job duties dictate. Responsibilities:
Works cooperatively with administrative, supervisory, physician, other health care provider, and allied health staff as well as patients and visitors. Welcomes patients and visitors by greeting patients and visitors, in person or on the telephone; answering or referring inquiries. Optimizes patients' satisfaction, provider time, and treatment room utilization by scheduling appointments in person or by telephone. Keeps patient appointments on schedule by notifying provider of patient's arrival; reviewing service delivery compared to schedule; reminding provider of service delays. Ensures availability of treatment information by filing and retrieving patient records. Maintains patient accounts by obtaining, recording, and updating personal and financial information. Obtains revenue by recording and updating financial information; recording and collecting patient charges. Maintains operations by following policies and procedures; reporting needed changes.
