As the Payroll Tax Specialist, you will serve as the subject matter expert for all federal, state, and local payroll tax compliance matters. Reporting to the Director, HRBP & People Operations, you will ensure accurate tax filings, monitor regulatory changes, maintain Workday configurations, and partner with Finance, HR, and external vendors to deliver a compliant and efficient payroll tax function across our multi-state US organization. This is a remote position based in the US.
- Tax Compliance & Filing:Ensure all federal, state, and local tax returns and related statements are validated and correct by reconciling all balances, including W-2s and all required filings. Provide monthly, quarterly, and annual reconciliations and analysis (W-2s, 940s, 941s).
- Tax Law Research:Research, interpret, and apply existing or revised tax codes, laws, and forms. Maintain current knowledge of payroll tax laws and ensure compliance with federal and state guidelines, resolving compliance issues with taxing authorities.
- Agency & Jurisdictional Management:Monitor agency notices and tax-related correspondence daily. Set up new agency states/locals as needed, maintain SUI rates, and manage company-specific configurations based on employee demographic data.
- Workday & System Management:Engage with Workday HCM and payroll teams to ensure appropriate business processes and security are maintained. Validate system integration files and coordinate new account coding and mapping in the payroll system.
- Year-End Reporting:Oversee processing and maintenance of annual W-2s, taxable fringe benefit input, and ACA reporting. Partner with vendors to ensure all imputed income is captured and appropriately reported.
- Reconciliation & Analysis:Reconcile and analyze general ledger transactions for Finance/Accounting. Research discrepancies, answer questions, and ensure mandatory and voluntary withholdings and deductions are accurately calculated and reported.
- Process Improvement:Continually identify process and system improvements to increase efficiency and effectiveness. Streamline payroll tax procedures and recommend best practices for payroll, HR, and Finance teams.
- 5+ years of experience processing payroll taxes in a corporate, multi-state environment
- Experience with Workday Payroll and HCM is required
- Knowledge of federal, state, and local laws and regulations related to payroll
- Strong analytical thinking with the ability to work under tight deadlines while maintaining accuracy
- Excellent time management skills and attention to detail
- Ability to handle complex issues independently with minimal supervision
- Strong organizational skills with a focus on process improvement and meeting operational deadlines
- Strong collaboration skills with the ability to develop cross-functional business relationships
- Bachelor’s Degree preferred
The Salary Range / Hourly Rate for this role is: $75,900 - $118,600 USD.
