LEVEL II BOOKKEEPER


JOB DESCRIPTION


 


Salary: Pay grade EC-07


Reports to: Principal


FLSA Status: Non-Exempt


Supervises: N/a


Work Week Schedule: Monday – Friday; Must be available some nights and/or weekends


Work Hours: 40


Months per year: 12 





PURPOSE:


The Bookkeeper is responsible for managing the financial operations of assigned schools, ensuring accurate accounting, compliance, and stewardship of all school-based funds. This position supports multiple schools and focuses on maintaining financial records, processing transactions, monitoring budgets, and ensuring adherence to district, state, and federal guidelines. The Bookkeeper works closely with school administrators and the finance department to ensure all financial activities—including receipts, disbursements, payroll-related processes, and reporting—are completed accurately and in a timely manner. This role requires a high level of organization, attention to detail, confidentiality, and the ability to manage financial responsibilities across multiple sites.This position is not primarily responsible for general office or receptionist duties; however, limited front office coverage may be required as needed (e.g., during lunch periods or staff absences). The primary focus of this role is the financial management and accountability of school resources.


 


KNOWLEDGE, SKILLS AND ABILITIES



  1. Possess a working knowledge of payroll procedures.

  2. Possess a working knowledge of accounting procedures.

  3. Possess a working knowledge of data processing techniques.

  4. Ability to communicate effectively orally and in writing.

  5. Ability to reason, make judgments, and maintain effective working relationships with others in exercising discretion and action in the performance of assigned work.

  6. Ability to use positive human relation skills with all staff, parents and students in fulfilling requests for assistance as appropriate.

  7. Ability to maintain confidentiality in all matters relating to personnel and to the school system.

  8. Working knowledge of general office equipment.

  9. Skills in operating a computer with knowledge of relevant software and word processing, spreadsheet, and database applications.

  10. Considerable knowledge of office practices and procedures.

  11. Ability to compile and summarize information.

  12. Ability to attend to details necessary to complete forms properly.

  13. Ability to resolve problem situations with sound judgment.

  14. Ability to work with limited supervision.


 


EDUCATION, TRAINING AND EXPERIENCE



  1. High school diploma with preference given to an associate's degree in accounting or office management; or an equivalent combination of training and experience which provides the required knowledge, skills and abilities.

  2. Must be able to meet requirements to be bonded.



ESSENTIAL DUTIES AND RESPONSIBILITIES 


Financial Management



  • Maintain accurate financial records for all school accounts in compliance with NC General Statute 115C- Article 31 (School Budget and Fiscal Control Act)

  • Process financial transactions including receipts, check writing, purchase orders, and deposits

  • Prepare bank deposits and reconcile bank accounts

  • Monitor and track school budget allotments

  • Maintain fixed assets inventory

  • Generate required financial reports in a timely manner

  • Compile finance records as required for annual audit


Payroll & Personnel Support



  • Maintain payroll and personnel records, including attendance, leave, and time sheets

  • Verify, collect, and process payroll-related documentation for staff (teachers, assistants, substitutes, custodians, bus drivers, etc.)

  • Ensure accuracy of employee leave records for payroll and benefits purposes

  • Serve as a point of contact for employee benefits, including health insurance, retirement, and related inquiries


Operations & Support



  • Order and distribute supplies as needed

  • Serve as a liaison between the school(s) and the finance department

  • Assist administrators with financial planning and reporting needs

  • Provide limited front office support as needed

  • Calls substitutes when requested


General Responsibilities



  • Participate in training and professional development relevant to job responsibilities

  • Carry out other duties as assigned by the principal and Chief Finance Officer


 


WORKING CONDITIONS


 Physical Demands- Light physical work required occasionally, up to 20 pounds lifting


Work Environment- Inside with some occasional outside environments; direct contact with staff, students, parents, and the public
