Position Overview
This position is a promotional opportunity for qualified team members. The CR Lead Supervisor reports directly to the General Manager/Assistant GM and plays a critical leadership role in driving accuracy, compliance, and efficiency within the Condition Report (CR) process.
This role expands beyond individual production and focuses on leadership, training, quality control, and cross-department coordination. The CR Lead Supervisor sets the standard for CR performance while reinforcing safety, accountability, and continuous improvement.
Purpose of the Role
The CR Lead Supervisor exists to ensure:
- Accurate, complete, and compliant Condition Reports
- Consistent CR processes across the operation
- Strong communication between CR, Recon, and Management
- Ongoing employee development and accountability
Summary of Extended Responsibilities
- Oversee day-to-day CR operations and workflows.
- Verify that all CRs are accurate, complete, and submitted in a timely manner.
- Confirm that all units sent to repair meet current NPA and lender guidelines.
- Develop and reinforce training strategies and best practices aligned with CR production goals.
- Partner with CR Production Supervisors to ensure expectations, procedures, and safety standards are consistently met.
Leadership & Oversight Responsibilities
Primary Responsibilities
Ensure lender compliance requirements are followed and properly time-stamped. Pull and review daily reports to manage workflow, identify missing or incomplete CRs, and maintain steady production flow. Train, mentor, and develop new and existing CR employees in all aspects of the CR process. Work closely with the Recon Department to ensure repair requests meet compliance and documentation standards along with post reports being completed and updated with accuracy. Maintain daily communication with the Service Writer, General Manager/Assistant GM to align priorities and resolve issues.
Quality Control & Verification
Manage and complete the Quality Control (QC) process daily. Maintain the highest level of accuracy and consistency in alignment with company objectives. Ensure inventory is spot checked for accuracy, completeness, and compliance. Document deficiencies clearly so targeted training and corrective actions can be developed and implemented.
Communication & Reporting Expectations
- Communicate positive employee performance, areas for improvement, and process gaps in a timely and professional manner.
- Submit required daily reports and ensure proper organization and storage in OneDrive.
- Provide daily updates to the General Manager on efficiency, compliance, and operational concerns.
Safety, Accountability & Standards
- Lead by example with a safety-first mindset in all CR-related activities.
- Ensure all CR processes are performed according to company policies, lender requirements, and safety standards.
- Reinforce accountability, consistency, and professionalism within the CR team.

Eligibility Requirement for Promotion
- Candidates must have held a Level 4 position for a minimum of one (1) year to be considered for the CR Lead Supervisor role.
Summary of CR Lead responsibilities
- Directing morning meetings with the CR team
- Participating in weekly CR Lead meetings
- Running daily production and inventory reports
- Updating Engine Mechanical sheet
- Training all CR Writers
- Following Training process
- Updating Pre-Inspections
- QC Check (Physical),documenting errors for training
- Monitor Post Inspections, documenting errors for training
- Transfer Inspections, documenting errors for training
- (Review) Inspections, documenting errors for training
- Clearing CR Discrepancies, documenting errors for training
Running daily reports
Every morning the CR Lead is to run the following reports, this is to be completed prior to the CR Meeting:
- Total units missing Pre-Inspections
- Total units requiring post-Inspections
- Total units missing inspection on the Prep List (If auction week)
- Total units with pending Review and Transfer inspections
- Total units with pending “Update CR” vehicle tasks
- Pending exceptions for CR Discrepancies
- Auction Ready or In Auction units with out-of-date inspections
End of day report
The CR Lead is to run the following reports and add to the one drive ops document.
- Total number of inspections completed by each CR Writer
- Total number of inspections completed for the day
- Total number of units missing Pre-inspections
- Supply a reason production was low for any given CR Writer
Directing morning CR meetings with the CR Team:
- Discuss topics given in the CR Lead meeting
- Engage the team.
- Review any units rated Mechanical issue from the previous day
- Go over the daily reports and outline a plan for the day, put emphasis on older units that still require a Pre-Inspection.
- Update the Engine Mechanical sheet to reflect the determination of any Mechanical issue that was reviewed. Update the inspection to reflect the correct rating.
Physical QC Check
A. Validate CR scores
- Spot check units that appear inaccurate, check for scores that seem too high or too low.
- Compare CR score to overall condition of unit (i.e. If the unit scored an 89 give the unit a quick once over to verify that it is accurate, check underside of frame, exhaust, footrests, etc. Inspect for any signs that the unit has been dropped)
- Verify any Dents, Fluid Leaks, Aftermarket Fairings, Frame damage etc. is rated accordingly
- Inspect Harley Davidson frames
- Thoroughly inspect every wrecked unit
- Verify ratings on Frame, Wheels, Suspension, Engine Cosmetic
Check for common damage or issues (Review Common vehicle issues sheet)
- Spot check front down tubes
Training all CR Writers
- The CR Lead is responsible for training all CR Writers and determining when any CR Writer is ready to advance to the next level.
- Responsible for following the training process
- Review the inspections for new hires or CR Writers advancing to the next level prior to upload.
