Summary
The primary purpose of the Pavement Preservation Administrative Assistant is to provide support through administrative and clerical duties. This is a full-time position.
Essential Duties and Responsibilities
- Provides administrative support to our Fayetteville, PA office location.
- Manages and submits job bids.
- Keeps, maintains, and orders inventory for office supplies.
- Performs data entry of material tickets to support business processes using company software systems with accuracy and attention to detail.
- Receives incoming mail, communications, emails, and phone calls, handling when appropriate or distributing to the proper recipient when not
- Assists customers and corporate accounting with billing and invoice inquiries and process payments as needed
- Work closely with Human Resources, Estimating, Project Engineering and Safety, to support business needs.
- Provides administrative support for location events and meetings, such as ordering food and supplies.
- Supports the uniform program by ordering or cancelling employee uniforms.
- Other projects and responsibilities as deemed necessary for business
Skills and Education
Required
- High School diploma or GED equivalent
- 2+ years of administrative experience
- 2 years of customer service experience
- Proficiency in Microsoft Office Products
- Well established organizational skills with strong attention to detail, record-keeping skills, and excellent verbal and written communication skills
- Ability to maintain confidentiality
- Notary Public Commission , or willingness to obtain
Preferred
- Experience in a construction, manufacturing, or production related industry
- Knowledge and experience in inventory and billing systems
Job Requirements
- Ability to work in a team environment with production personnel, as well as the ability to work independently without close supervision
- Ability to work closely with customers and outside vendors on a regular basis
- Must be able to work overtime as needed
- Ability to perform work which requires frequent and regular movement of wrists, hands, and/or fingers
- Ability to perform primarily sedentary work, yet occasionally exert up to 10 pounds of force
- Ability to see, hear, talk, and perform tasks requiting manual dexterity
- Ability to operate standard office equipment including a computer, copier, fax, phone and other similar office equipment

Work Environment
Varying based on location and department, this position requires most of its responsibilities be performed in an asphalt construction office. Work conditions may involve limited exposure to chemicals, fumes, dust, odors, gases, and other substances used in a construction environment.
