JOB SUMMARY

This position is accountable for providing administrative management services for the practice, planning and coordinating the work of clerical, clinical, and bookkeeping efforts of the site, resulting in a smooth comprehensive management of the day-to-day operations.

REQUIREMENTS FOR OUR OFFICE MANAGER

  • Bachelor's degree in business administration or related field required
  • A combination of education and experience may be an acceptable substitution
  • Three years of medical office administration, including at least one year in the associate specialty setting
  • Demonstrated management and finance/accounting background experience preferred

ESSENTIAL DUTIES AND RESPONSIBILITIES

  1. Delegate responsibilities over clerical and clinical work activities and functions to site staff.
  2. Facilitate daily operations and responsibilities of the "patient flow."
  3. Assist site staff to develop and implement short- and long-term work plans and objectives for clerical and clinical functions.
  4. Assist site staff in understanding/implementing organizational policies and procedures.
  5. Develop guidelines for prioritizing work activities, evaluating effectiveness and modifying activities as necessary.
  6. Help site staff establish deadlines for work assignment and completion. Monitor work status and progress.
  7. Ensure smooth office operations which support teamwork and generate a positive attitude between staff.
  8. Identify, analyze, and resolve work problems with the support of Practice Management personnel.
  9. Ensure that the staff receives appropriate training and employment development.
  10. Plan, organize and oversee work schedules and assignments of support staff to meet operational needs.
  11. Coordinate coverage for absences, meal breaks, training, and vacation. Review and approve PTO request as necessary.
  12. Evaluate staff performance and recommend merit increases in accordance with established budget and merit increase program, promotions as appropriate and improvement actions.
  13. Handle hiring and staffing levels.
  14. Facilitate the orientation of new staff.
  15. Develop and maintain an efficient patient management system to effectively follow-up for repeat diagnostic procedures and clinical evaluations for all patients.
  16. Establish guidelines for appropriate referrals and effective surgical scheduling system based upon procedures performed and the framework created by the providers.
  17. Maintain provider schedules by coordinating provider vacations and sick calls to ensure patients are rescheduled.
  18. Manage provider call and time off calendar.
  19. Assist billing and utilization review in the process of identifying ways to enhance revenue while ensuring compliance.
  20. Develop and maintain system to ensure all procedures are pre-authorized and authorizations for treatment are maintained.
  21. Order office supplies as needed.
  22. Develop and monitor incoming referral process to ensure timeliness.
  23. Handle various personnel matters including forms, documentation and procedures as required.
  24. Resolve provider issues- Patients complaints, scheduling concerns or errors.
  25. Monitor and track provider's licenses, credentialing, medical memberships, and certifications. Complete forms/processes when necessary.
  26. Prepare and submit payroll information to the payroll department for providers.
  27. Review and approve staff timecards, monitoring overtime and missed meal breaks.
  28. Manage necessary facility and equipment repairs.
  29. Attend required meetings and participate in committees as requested.
  30. Participate in professional development activities.
  31. Maintain strictest confidentiality of patient records as well as proprietary business issues.
  32. In the spirit of teamwork, employees are expected to follow any other job-related instructions and to perform any other job-related duties as requested.

PERFORMANCE REQUIREMENTS
Knowledge, Skills and Abilities:

  • Knowledge of Group Practice policies, procedures, and systems.
  • Knowledge of human resources management techniques as it relates to the office manager's responsibilities.
  • Knowledge of clinical office procedures.
  • Knowledge of computer systems and applications.
  • Knowledge of medical practices, medical terminology, and coding.
  • Knowledge of grammar, spelling, punctuation, and sentence structure to answer correspondence and prepare reports.
  • Skill in planning, organizing, and supervising.
  • Skill in evaluating the effectiveness of existing methods and procedures.
  • Skill in operating a variety of office equipment.
  • Ability to be an Epic super user.
  • Ability to deal with patients, medical and Group Practice management staff and the public effectively.
  • Ability to read, interpret and apply policies and procedures.
  • Ability to focus on excellent customer service and to teach others to do the same.
