Job Description

The Ember Recovery Client Services Specialist serves as the first and most trusted point of contact for clients, families, and visitors entering Ember Recovery and YSS services. This role delivers a welcoming, professional, and compassionate experience that reflects the mission and values of the organization.

The Ember Recovery Client Services Specialist manages the front desk and overall welcome experience for the campus, ensuring that clients and guests are promptly and courteously received and that the day-to-day flow of the office operates smoothly. Serving as a liaison between admissions, clinical, and administrative teams, this position supports coordination of services, scheduling, and communication across departments.

In addition, the Ember Recovery Client Services Specialist assists the admissions team in preparing intake materials, coordinating appointments, and guiding clients and families through the early stages of the admissions process. This role also provides professional tours of the Ember campus and offers clear, accurate information about available services. While rooted in client engagement, the position also provides essential administrative and clerical support that helps ensure efficient campus operations.

 

ESSENTIAL FUNCTIONS/TASKS/EFFORT

  • Serves as the primary point of contact for clients, families, visitors, and referral partners, ensuring a welcoming, professional, and compassionate experience both in person and over the phone.
  • Manages the front desk and reception area, greeting visitors, directing inquiries, answering incoming calls, and coordinating the daily flow of the office and campus entry point.
  • Provides professional tours of the Ember campus for prospective clients, families, and partners, presenting program information and representing the mission and services of Ember Recovery.
  • Supports the admissions process by assisting with scheduling, preparing intake materials, coordinating appointments, and helping guide clients and families through initial enrollment steps.
  • Maintains knowledge of Ember Recovery and YSS programs to answer questions, provide accurate information, and connect individuals with appropriate services or staff.
  • Serves as a liaison between clinical staff, admissions staff, and administrative teams to support effective communication and coordination of services.
  • Provides general administrative and clerical support including document preparation, file maintenance, correspondence, data entry, meeting coordination, and report preparation.
  • Maintains organized electronic and paper records in accordance with agency policies and confidentiality requirements.
  • Maintains a clean, organized, and welcoming reception and office environment that reflects a professional client experience.
  • Responds appropriately to urgent or crisis situations by following established procedures and connecting individuals with appropriate staff or resources.
  • Participates in meetings, trainings, and other organizational activities as requested.
