Position Overview:
The Executive Assistant will be responsible for supporting the Executive and Management team and providing general administrative support to the organization.
Duties and Responsibilities:
- Coordinate activities throughout the company to ensure efficiency and maintain compliance with company policy
- Manage scheduling and travel plans for upper management
- Manage emails, letters, packages, phone calls and other forms of correspondence
- Create and update databases and records for personnel and other data
- Track and replace office supplies as necessary to avoid interruptions in standard front office procedures
- Ability to handle confidential and sensitive information with discretion
- Accomplishes routine clerical duties such as typing and filing
- Greets visitors, answers and screens telephone calls, takes messages, and sets up conference calls as necessary
- Drafts accurate, professional correspondence, reports, and other documents
- Prepares comprehensive agendas, memos, and presentations to support meetings as needed
- Takes meeting minutes and follows up on action items to ensure effective execution of decisions made
- Directs incoming correspondence to the appropriate division, recognizes patterns and handles matters of a routine nature
- Communicates objectives, tasks, and decisions to staff on behalf of management
- Supports leadership with Commissioners Court coordination, training and research
- Performs other duties as assigned

Position Duties
Education and Experience:
- Bachelor’s Degree from an accredited college or university.
- Minimum of five (5) years of experience working in an office environment.
- Minimum of one (1) year of experience supporting an A-level Executive or Manager.
Knowledge, Skills, and Abilities:
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, etc.)
- Excellent interpersonal, communication, verbal, listening, and written communications skills
- Self-motivated and excellent problem-solving skills
- Ability to establish and maintain effective working relationships and foster teamwork in a diverse environment
- Ability to work well with the public and all levels of staff members
- Excellent time management, multitasking, and data entry proficiency
- Demonstrated capability to plan and prioritize tasks effectively
- Excellent planning and organizational skills
- Ability to adapt to changes in day-to-day assignments in a fast-paced environment with a positive attitude
- Ability to meet multiple deadlines and balance numerous projects in a fast-paced environment
- Strong sense of urgency with impeccable organizational skills to meet deadlines and requirements for multiple projects
- Ability to work effectively in a team or autonomously with accountability
- Thoughtful use of judgment in managing responsibilities
- Innovative, proactive, and creative in creating solutions and completing assignments

Employment may be contingent on passing a drug screen and meeting other standards.
