Job Description

Friend Health is seeking a Clinic Coordinator to perform reception and clerical duties in a fast-paced outpatient clinic setting. This position involves constant interaction with patients, physicians, and clinic staff, requiring strong customer service skills, accuracy, and commitment to excellence. The Clinic Coordinator plays a crucial role in ensuring efficient clinic operations, patient scheduling, and compliance with insurance and registration procedures.

Essential Job Duties & Responsibilities

 Patient Registration & Coordination

  • Enter and verify patient demographic and insurance information at every point of contact.
  • Assist patients with Medicaid applications, including Newborn Add-On, MPE, and CountyCare enrollment.
  • Schedule and confirm patient appointments according to established procedures.
  • Call no-show patients within 24 hours to reschedule appointments.

 Customer Service & Front Desk Operations

  • Greet patients and answer calls professionally and courteously within a minimum number of rings.
  • Obtain authorization for treatment from managed care organizations and explain self-pay policies to patients.
  • Collect copayments and balances at check-in and reconcile daily balances for submission to the Site Manager.

 Administrative Support & Compliance

  • Maintain office supplies and forms required for front desk operations.
  • Ensure compliance with Federally Qualified Health Center (FQHC) program requirements, including Sliding Fee Scale discounts.
  • Work collaboratively with all departments to ensure timely patient registration and coordinated care.
  • Perform other duties as assigned by leadership.

Educational Requirements

  • High School Diploma or GED required.
  • Associate degree or some college coursework preferred.

Experience & Skills

  • 2-3 years of experience in customer service, patient registration, or front desk operations.
  • Electronic Health Record (EHR) experience preferred.
  • Bilingual in Spanish preferred.
  • Ability to type at least 35 WPM and perform general office duties such as filing, printing, and data entry.
  • Familiarity with telephone and intercom systems, personal computers, and data retrieval.
  • Strong interpersonal skills with the ability to handle public interactions, patient concerns, and conflicts with professionalism, tact, and discretion.
  • Knowledge of HIPAA regulations and the ability to handle sensitive information securely.
  • Availability to attend mandatory training sessions, including after-hours or weekends, with advance notice

 Compensation & Benefits

Hourly Rate: $18.37

Occupational Risk & Compliance

This position involves extensive patient contact, increasing the risk of exposure to tuberculosis (TB). Employees are required to comply with annual TB testing and flu vaccination policies. Exceptions are granted only for documented medical contraindications or religious objections, and employees who decline vaccinations will be required to wear a mask as appropriate.
