We are seeking a proactive and detail-oriented Project Administrator to support Project Managers on site. In this fast-paced, dynamic environment, the successful candidate will work collaboratively with multi-disciplinary teams to ensure smooth project operations. Strong communication skills, self-motivation, and attention to detail are key to success in this role.

Key Duties & Responsibilities

  • File and maintain project documents, assist with employee onboarding and orientation
  • Organize and coordinate on-site events, such as lunch-and-learns
  • Take meeting minutes, draft memos, presentations, and distribute as required
  • Aid in the development and maintenance of project management documents
  • Work with suppliers on quotes, project costs, delivery timelines, and forecasted spending
  • Support Project Managers with procurement of materials, supplies, and services
  • Assist with Project Manager schedules, coordinating team meetings and project calendars
  • Prepare materials and organize internal and external meetings
  • Utilize Excel for project tracking, reporting, and documentation
  • Support month-end procedures and other administrative tasks as needed
