Job Description

Audubon is currently seeking a Proposals Coordinator to join our team in our Houston, TX Office.  The Proposals Coordinator is responsible for supporting proposal development process.

 

PRIMARY RESPONSIBILITIES:

  • Responsible for managing the proposal/EOI/pre-qualification response in compliance with the internal procedure – SEP-PP-0050, with a focus on formatting, quality and filing of proposals.
  • Responsible for creating the file folder structure, including files and templates, maintaining quality results by using templates and following proposal-writing standards for readability, consistency, and tone.
  • Develops the proposal outline and compiles the responsibility/compliance.
  • Coordinates the compilation of proposal books in advance of Proposal Kickoff meetings when necessary.
  • Updates and maintains proposal, presentation, resumes, project experience, industry experience, photos and project profile data bases, folders and filed.
  • Identifies and obtains authors for section response requirements for the compliance matrix and bid request.
  • Identify relevant company proposal materials, applicable boilerplate, and intelligence that might be adapted to the writing assigment.
  • Schedules meetings as necessary and takes Meeting Minutes during all Proposal meetings, including Proposal Kickoff and Review meeting.
  • Manages action item list and follows up with appropriate party for technical and commercial content, scheduling meetings as necessary.
  • Manage proposal calendar to ensure timely document submittal.
  • Assist in the creation and maintenance of marketing material for business unit specific documents.
  • Gathers and organizes information from various sources, assigns priorities to work, transmits the data to the appropriate support group for word processing or graphics art work, ensuring the timeliness of the final deliverables, such as proposals, qualifications, or clarification documents.
  • Edits and organizes all technical written materials supplied by support groups including organization of key sections, tables, exhibits, and attachments.
  • Ensures that all technical writing supports the overall sales strategy and that the proposal message is clear and consistent throughout.
  • Rewrite and/or edit sections to ensure accuracy, as needed with a high level focus on grammar and spelling in the proposal documents.
  • Support preparation of program requirements documents, including: SOW, Master Schedule, WBS & Dictionary, Hardware List, Equipment List, Test-performance Specs.
  • Coordinates proactive timely status updates to ensure that all production milestones are met.
  • Works with Opportunity Development Team and BLM’s to ensure that the RFP follow-up tasks are properly defined and effectively communicated to the pursuit team.
  • Edit electronic and hard copy proposal drafts, progress reviews, and final versions as directed by the Technical Proposal Manager.
  • Improves proposal-writing results, as needed, by evaluating and re-designing processes, approach, coordination, and boilerplate; implementing changes.

EXPERIENCE AND SKILL REQUIREMENTS:

  • High School Diploma or GED required.
  • Bachelor's degree in business or marketing preferred.
  • The ideal candidate has previous experience managing proposals in Petrochemical or Industrial settings.
  • Minimum of 2 years’ experience in sales, marketing, or technical writing.
  • Project management and leadership skills.
  • Adaptable and able to learn new skills quickly.
  • Able to succeed in a fast-paced work environment.
  • Strong problem-solving skills and detail oriented.
  • Highly proficient in Microsoft products including Word, Excel, PowerPoint, and Access.
  • Excellent written and oral communication
  • Experience working with upper-level management.
  • Highly organized with the ability to prioritize multiple tasks and meet
