    Position Summary:

     

    Under the direction of the Director of Facilities & Security, the Assistant Director provides supervisory, administrative, and technical support to ensure efficient operation, maintenance, and improvement of district facilities and grounds. The Assistant Director manages day-to-day maintenance operations, supervises assigned staff, oversees minor capital projects, coordinates vendor activity, and provides professional support for the district's long-range facilities and security planning. This position serves as an operational leader and acts in the Director's absence when designated.

     

    Qualifications:

    • Strong knowledge of facilities management, including building systems such as HVAC, electrical, plumbing, and life safety systems;
    • Demonstrated experience in facilities operations, including supervision of staff and management of vendors, preferably in a school or municipal setting;
    • Experience with project management, including planning, scheduling, and oversight of maintenance and capital projects;
    • Familiarity with regulatory compliance requirements such as OSHA, fire codes, and environmental standards; and
    • Excellent interpersonal, verbal, written, and computer skills, including proficiency with work order or asset management systems.

    MAJOR RESPONSIBILITIES

    Leadership & Supervision

    • Under the Director's guidance, supervises maintainers, contracted service providers, and other assigned staff.
    • Assists the Director in evaluating staff performance, identifying training needs, and reinforcing departmental standards.
    • Assigns, prioritizes, and monitors work tasks to ensure timely, high-quality completion.
    • Supports implementation of safety protocols, emergency procedures, and regulatory requirements.
    • Serves as acting supervisor in the Director's absence, as assigned.

     

    Facilities Operations & Maintenance Oversight

    • Oversees daily preventive and corrective maintenance operations in accordance with district standards, established schedules, and Director-approved priorities.
    • Coordinates work activities with school administrators to minimize disruption to instructional operations.
    • Assists with operational assessments, equipment evaluations, and recommendations for system improvements.
    • Ensures accurate documentation of work orders, maintenance history, and asset tracking.

     

    Project Management

    • Manages the execution of maintenance projects and minor capital improvement projects as assigned by the Director.
    • Conducts field inspections, monitors contractor performance, and verifies compliance with approved scopes of work.
    • Coordinates project logistics including scheduling, staff access, site preparation, and communication with stakeholders.
    • Provides regular progress updates and escalates issues to the Director for review or decision-making.

     

    Procurement and Contract Administration

    • Assists in evaluating contractor and consultant submissions.
    • Reviews vendor invoices, verifies work completion, and reports findings to the Director for authorization.
    • Maintains organized contract documentation and ensures adherence to district procurement procedures.

     

    Capital Planning & Budget Support

    • Assists the Director with development and annual updates of the district's Capital Improvement Plan (CIP).
    • Prepares cost estimates, project data, and supporting analysis for Director review.
    • Contributes to reports and presentations for the Board of Education and town boards.
    • Supports the preparation of grant documents, including OSCGR submissions for eligible projects.

     

    Compliance, Safety & Security Support

    • Assists the Director with regulatory compliance related to building codes, environmental regulations, OSHA requirements, and fire/safety systems.
    • Supports districtwide security initiatives, emergency preparedness, and incident response activities.
    • Helps maintain documentation required for inspections, testing, and regulatory reporting.

     

    Administrative & Strategic Support

    • Prepares reports, correspondence, and records in support of Director-led decision-making.
    • Provides research, analysis, and technical input to support long-term district planning.
    • Assists with budgeting, forecasting, and resource planning initiatives.
