PURPOSE
The House Manager is responsible for the overall operation of the shelter and serves as the supervisor of the property. The House Manager is expected to be on-call for situations that include the absence of a staff member on duty, evacuations of the building and other situations which require additional staff assistance.
REQUIREMENTS
· High School Diploma or Equivalent
· Strong communication skills, customer service skills, organizational skills, and computer literacy.
· Capable of multi-tasking and being flexible within their role.
· Prompt and Courteous phone manner.
· Knowledge of telephone, computer, and security procedures for the company.
ESSENTIAL JOB FUNCTIONS
· Completes intake for incoming clients.
· Upon admission, review all rules with new clients. Obtains a list of client’s medications, emergency contact numbers, assign weekly chores, assign a room, and resident signs admission book.
· Provides bedding, linens, and personal hygiene items as needed by the clients.
· Serves as point of contact for day to day needs of clients within the shelter location they are assigned.
· Participates in-group training sessions in first-aid, security and surveillance techniques, social work and counseling training programs, food, and fire safety training.
· Conducts weekly house meeting with residents to review rules and regulations, go over the weekly menu, laundry list, weekly chose list, and any open weekend passes.
· Provides daily headcount to Headquarters when morning checks are completed.
· Reports concerns regarding residents and any major infraction of house rules to Case Workers, Program Manager, and Program Director.
· Maintain with accuracy the sign in/out book. All individuals must sign in/out every time they enter or exit the property.
· Responsible for both the interior and exterior cleanliness of the property.
· Troubleshoot maintenance issues and perform small household fixes.
· Report all needed repairs immediately to Maintenance team.
· Make regular inspections of the building to assure client safety and compliance with established procedures, standards, and regulations including monthly walk through with checklist.
· Conducts monthly fire drills as required and sends the form to Case Workers once per month. Inspection fire extinguishers, smoke detectors, first-aid kit and include status within the fire drill report.
· Logs all events, unusual activities, incidents and prepares Incident Reports.
· Keeps an updated floor plan detailing which resident is in each room.
· Upon vacant room, House Manager must prepare for a new admission and complete the following: clean room, map, dust, broom, and vacuum, submit maintenance request, if necessary, wash down mattress and box spring and check bug cover on the mattress.
· Maintains confidentiality of client information and records.
· Coordinates with shelter Driver for client transportation as needed.
