Job Description

Who are we looking for?

The Administrative Assistant Crucial duties and responsibilities include, but are not limited to:

 

· Document product including typing, formatting, and revisions of reports and general correspondence based on preset portfolio templates and styles.

· Experienced working in Word, Excel, PowerPoint, Copilot, Teams, Adobe Acrobat DC, and creating bookmarked PDF documents.

· Using Excel for report tracking. Formulas are basic for this position, but pivot tables might be required

· Ensuring all documents are filed electronically on iConnect and email filer

· Ensuring all outgoing products meets company standards.

· Comfortable working independently and as part of a team. highlighting potential errors or questions for PM review (this is patterning a consequence of portfolio work to ensure reports contain the same style, intro, who GHD is, cover, entity, etc.)

· Working under multiple deadlines and communicating with employees, supervisors, and ranch office employees on a regular basis.

· Attention to detail

· Coordinating data pulls from AutoCAD, GIS, Database when requested to add data into reports

· Being accountable to a global team, demonstrating the ability to work seamlessly across different time zones. Must be fluent in English

 

Skills, Experience and Competencies:

· Grade or diploma; secretarial certificate/diploma considered an asset.

· Minimum 1 to 5 years previous work experience in an administrative support role.

· Ability to carry out tasks independently if necessary; general knowledge working with various correspondence including: reports, tables, letters, memos, and Adobe.

· Advanced knowledge of Microsoft Office (Word, Excel, Power Point) and Adobe Acrobat DC.

· Strong command of the English language, grammar, written and verbal, is required.

· Independently driven with the ability to make independent decisions on various aspects of document production.

· Effective problem-solving skills.

· Excellent prioritization and multi-tasking skills are required.

· Some flexibility regarding work hours may be required from time to time to collaborate effectively with remote team members on various projects and different time zones
