Job Description
POSITION: Principal’s Office Professional - Elementary
REPORTS TO: Building Principal
CONTRACT LENGTH: 214 Days
CATEGORY: 2
MISSION:
West Aurora is a Multilingual School District that supports several languages across our buildings. Our office
Professionals serve as the first point of contact in each setting. It is our mission to build relationships and
strengthen the bond between Parents and District. We strive to make families feel welcome and comfortable in
their native language whenever possible.
POSITION QUALIFICATIONS:
● High School Diploma or Equivalent
● Computer Literate
● Google Suite programs
MAJOR RESPONSIBILITIES:
● Perform bookkeeping tasks as assigned by Principal
● Maintain Activity Fund in Ivisions and Parallels
○ Deposits
○ Prepare checks
○ Reconciliation
○ NSF Checks - follow up
● Maintain building and Title One budget in Ivisions
○ Preparing and receiving PO’s
○ Ordering school supplies and materials
○ P-card reconciliation for Principal and building
○ Time sheets
● Assist principal by maintaining due dates, appointments, calendar of events and monitoring building
budget. Provide secretarial assistance: type, receive mail, and or file material upon request of
principal
● Maintain student records in eSchool
○ Generate and run reports in eSchool
○ Generate report cards (shared with building secretary)

○ Withdraw and add students
○ Shares responsibility of attendance as needed
● Effective in both written and verbal communication in both internal and external school
correspondence
○ Newsletters
○ E-mail correspondence
○ Letters and memos to parents and staff
○ Voice and e-mail blasts via school messenger
● Maintain Website and multiple calendars, including Principal, Building and Rooms for
meetings, outside services and testing
● Post school events on social media
● Update Building Staff information document for district utilization at the end of each year
● Student Material Fees
○ Record and deposit fees in district account and notify business office of deposit with
supporting documentation
○ Send quarterly billing statements to parents
● Monitor staff absences in AESOP
○ Prepare for and welcome substitutes
○ Determine coverage for classrooms without substitute coverage
○ Enter and maintain AESOP as needed for absences
○ Sub report verification to administration weekly
● Knowledge of IEP Plus for PPS Secretaries
● Coordinate School events
○ Parent teacher conferences
○ Kindergarten registration
○ Curriculum Night
○ Building Use Forms
● Has knowledge of office computer systems and programs, including but not limited to: eSchool,
e-chalk, Raptor, IVisions, AESOP, IEP Plus, School Messenger, Parallels, Revtrak, School Dude,
Destiny, Word, Excel, Publisher, Outlook, Power Point, Canva
● Use and maintain copy machines, laminators, fax machines
● Check in visitors using Raptor
● Assist new employees with key fobs, paperwork
● Assist with employee accident paperwork
● Coordinate with Lifetouch for student pictures
● Update and maintain school website, Facebook and Instagram accounts
● Handle Amazon returns
● Distribute all mail and maintain staff mailboxes
● Maintain and organize interview panel packets
● Parental interaction via phone and face to face, maintaining professional and polite
demeanor and acting as a buffer between parent and administrator
● Review timesheets and mileage, add account numbers
● Stock office supplies

● Schedule Events
● Ability to Cross-Train with Office Professionals within your settings to ensure coverage for
necessary duties in the event there is an absence or vacant position or high volume of work within
the building where you can add support
● Other duties as may be assigned by building principal
PHYSICAL DEMANDS AND WORK ENVIRONMENT:
While performing the duties of this job, the employee is frequently required to stand, walk, sit and
see, talk, and hear. The employee is occasionally required to reach with hands and arms and
stoop, kneel, or crouch. The employee must be able to lift and/or move up to 10 pounds
regularly/daily. The employee is required to use computers and other office equipment. Specific
vision abilities required by this job include close vision, such as to read type or hand-written
material. The noise level in the work environment is generally quiet but can also be that of a school
and can be loud when in places like gyms and cafeterias. The employee is continuously interacting
