Job Title: Clerk 3 (Medical Fitness)

Position Overview
The Clerk 3 (ADM04) role is responsible for delivering a broad range of clerical and administrative support functions within the department. Working under general supervision, the incumbent applies specialized knowledge, sound judgment, and decision-making skills to manage tasks that may involve exceptions to standard procedures. This position plays a key role in ensuring efficient office operations and accurate data management.

Requirements

Key Responsibilities
  • Upload and manage incoming mail and documentation within the MedFit system
  • Track, organize, and maintain documentation using Microsoft Excel
  • Compile and consolidate data from multiple internal and external sources
  • Prepare, review, and verify documents to ensure accuracy and completeness
  • Maintain records, files, and documentation in accordance with established procedures
  • Assist in the preparation of financial statements and related reports
  • Monitor and manage inventory levels, ensuring adequate supply of office materials
  • Coordinate and distribute inter-office mail efficiently
  • Support daily office operations and administrative workflows
  • Provide guidance and direction to junior staff, and may assist in supervising team activities

Qualifications & Requirements
  • Completion of Grade XI (or equivalent)
  • Minimum of four (4) years of related clerical or administrative experience
  • Equivalent combination of education, training, and experience may be considered
  • Proficiency in Microsoft Office applications, particularly Excel
  • Strong organizational, analytical, and data management skills
  • Ability to exercise judgment and decision-making within established guidelines
  • Effective communication and interpersonal skills
  • Experience working with data systems (e.g., MedFit or similar platforms) is considered an asset
