The Tradeshow Coordinator is responsible for the execution and coordination of all tradeshow-related room blocks across Embassy Suites and DoubleTree O’Hare – Rosemont. This role serves as the primary point of contact for tradeshow reservation logistics, ensuring accurate rooming lists, seamless communication, and timely execution.

Requirements

 · Manage assigned tradeshows across both hotels (single owner per show)

· Maintain and update room blocks in reservation systems

· Manage rooming lists including entry, revisions, and deadline tracking

· Coordinate and manage staff room blocks

· Prepare group resumes as needed

· Monitor cutoff dates and communicate deadlines to clients

 · Serve as primary point of contact for tradeshow reservation logistics

· Respond to client inquiries related to rooming lists, reservations, and block details

· Greet clients at the Convention Center when on property

· Review final billing with clients for accuracy and completeness

  · Ensure accuracy of all reservations and group block entries

· Monitors pick up against block (reporting only, not responsible for strategy)

· Maintain proper billing and routing instructions

Ensure all reservations are aligned with group agreements

· Ability to manage multiple high-volume events simultaneously

· Strong written and verbal communication skills

· Ability to work cross-functionally with multiple departments

· Customer service focused with a proactive mindset
 Requirements  

· High School Diploma or equivalent required

· 2–4 years of experience in hotel reservations, group housing, or event coordination preferred

· Experience with Hilton systems (ONQ, PEP) preferred

  Salary Based on experience-starting at $50k
