Executive Assistant

About the Role

We are seeking a highly organized, adaptable, and discreet Executive Personal Assistant to support the ownership of a growing hospitality and real estate company. This role is ideal for someone who thrives in a fast-paced environment, maintains a calm and professional demeanor under pressure, and can seamlessly shift priorities as business needs evolve.

The right candidate will act as a trusted partner—anticipating needs, managing competing priorities, and ensuring day-to-day operations run smoothly both professionally and personally.


Key Responsibilities

  • Manage complex calendars, appointments, and scheduling across multiple time zones
  • Coordinate travel arrangements, itineraries, and accommodations
  • Serve as a gatekeeper and liaison between the CEO and internal/external stakeholders
  • Assist with real estate and long-term rental coordination as needed
  • Handle confidential information with the highest level of discretion
  • Support meeting preparation, including agendas, materials, and follow-ups
  • Run personal and professional errands and manage day-to-day administrative tasks
  • Track projects, deadlines, and deliverables to ensure timely execution
  • Adapt quickly to changing priorities and provide proactive problem-solving

Qualifications

  • Proven experience as an Executive Assistant, Personal Assistant, or similar role supporting senior leadership
  • Exceptional organizational and time management skills
  • Ability to remain calm, professional, and solutions-oriented in a dynamic environment
  • Strong communication skills (written and verbal)
  • High level of discretion and confidentiality
  • Tech-savvy with proficiency in Google Workspace, Microsoft Office, and scheduling tools
  • Self-starter with the ability to anticipate needs and work independently
  • Flexibility to accommodate occasional after-hours or urgent requests
