Job Description

Reporting to the Associate Provost for Budget and Personnel, the Temporary Faculty Employment Specialist manages the faculty personnel process and maintains all documentation related to faculty files for all full-time and part-time visiting faculty and provides support to Academic Deans and Academic Affairs. 

Responsibilities include:

VISITING FACULTY PERSONNEL AND COMPENSATION 

  • Manage the full lifecycle of visiting faculty appointments, from initial search request through appointment letter preparation, hiring, onboarding and termination.  
  • Implement the additional pay process for visiting faculty.  
  • Coordinate with Wesleyan’s Benefits to ensure visiting faculty benefits are appropriately processed.   

ACADEMIC AFFAIRS SUPPORT 

  • Oversee the three academic deans' discretionary budgets, including processing payments and providing budget reports as needed.   
  • Support oversight of academic department expenses in Workday. 
  • In collaboration with the Executive Assistant in Academic Affairs, coordinate deans' calendars and schedule meetings as needed. 

Perform other duties as assigned.

This is an on-campus position working up to 37.5hrs per week.

MINIMUM QUALIFICATIONS: 

Bachelor’s degree in Human Resources, Business Administration, Higher Education Administration, Public Administration, or a related field, and a minimum of five years of progressively responsible professional experience in administrative operations, human resources, academic affairs, or a similarly complex organizational environment; or an equivalent combination of education, training, and experience. 

Demonstrated experience managing complex administrative processes across a full lifecycle (e.g., hiring, onboarding, and offboarding), with a high degree of accuracy and attention to detail. 

Experience working in a higher education or similarly complex organizational environment, with the ability to navigate multiple stakeholders and institutional processes. 

Strong diplomatic and interpersonal skills, including the ability to work effectively with multiple stakeholders and communicate clearly with professionalism and sound judgment 

Proven ability to handle confidential information with discretion and tact. 

Strong organizational and time management skills, with the ability to prioritize competing deadlines, manage multiple workflows simultaneously, and maintain composure in a fast-paced environment 

Experience using enterprise systems (e.g., Workday or similar HRIS platforms) to manage data, track processes, and generate documentation. 

Experience supporting financial or compensation-related processes, including processing or tracking transactions such as payroll inputs, payments, or expenses. 

Experience coordinating schedules, meetings, or administrative operations in a fast-paced environment. 

Proficiency in Microsoft Office, including Word and Excel. 

PREFERRED QUALIFICATIONS:

Experience working with faculty or supporting academic affairs processes in a higher education environment. 

Experience supporting faculty personnel processes or human resources functions in a higher education setting. 

Experience with Workday or a similar HRIS system in a higher education or complex organizational environment. 

Experience managing projects or implementing process improvements across departments. 

Experience supporting or coordinating employment eligibility, immigration, or visa-related processes in a higher education or similarly complex organizational environment.
