Brief Job Description:  


 



  • Direct phone calls and distribute correspondence

  • Handle requests and queries appropriately from staff, teachers, and visitors

  • Manage calendar and schedule meetings and appointments

  • All Occasion Cards: Birthdays, Sympathy, Get Well, etc. 

  • Prepare agenda, sign in sheets, & take minutes for any meetings

  • Check in and out source office supplies once delivered

  • Type letters and/or create spreadsheets

  • Organize and maintain office filing system

  • Prepare Assembly room and/or conference rooms (e.g. make reservations and check equipment) and light hospitality duties. 

  • Cordially assist and scan background check for visitors entering building

  • Event planning, organizing classrooms, office, furniture, etc. 

  • Faculty time cards, attendance data on spreadsheet

  • Email and correspond with area schools, to provide the Director with updates in schedule changes, school events, grades, other deadlines, etc. 

  • Take attendance for on site area students and notify school secretaries

  • Other duties as assigned


 


 


Training Areas:


Have  work experience as a Staff Assistant, Administrative Assistant or similar role


Computer literacy/skills


Minimum Bookkeeping


Willingness to learn new programs


Attention to details


Familiarity with office equipment (e.g. copiers, printers and fax machines)


Organizational skills/Filing


Verbal and written communication skills


Professionalism while collaborating with varying managerial levels
