Position Summary
Walsh University seeks a highly motivated and self-directed individual to join the College of Health Sciences as the Clinical and Student Onboarding Coordinator for PT and OT. The coordinator provides administrative and operational support for the clinical education components of the OT and PT academic programs. The coordinator works closely with faculty, program directors, clinical education partners, and university offices to oversee the coordination of clinical placement for all Occupational Therapy and Physical Therapy students. Responsibilities include but are not limited to verification of clinical sites and preceptors, obtaining affiliation and preceptor agreements, ensuring student compliance with all health data, and completing onboarding for students with individual sites. The coordinator will also work with the Directors of Clinical Education for the programs to facilitate the admission application process. The candidate must have excellent critical thinking, communication skills, and technical skills including data entry and competence with Microsoft Office and Excel.
Essential Duties and Responsibilities
- Provide administrative support for clinical education and fieldwork activities across OT and PT programs
- Assist with clinical education preparatory processes for students and faculty
- Monitor, track, and maintain clinical affiliation agreements and related documentation for clinical education sites
- Support the initiation and renewal of clinical education contracts in collaboration with appropriate university offices
- Collect, maintain, and update clinical site information on a routine basis
- Monitor student compliance with program and clinical site requirements, including onboarding and required documentation
- Communicate clinical education requirements, deadlines, and site specific expectations to students in a timely manner
- Maintain accurate records related to student placements, clinical experiences, educator information, and requirements
Data Management, Reporting, and Technology
- Collect, compile, and maintain clinical education data using university approved software systems and databases
- Demonstrate comfort and proficiency with technology platforms that support the administration of fieldwork and clinical education
- Generate reports and summaries as requested by program leadership for planning, accreditation, and assessment purposes
- Provide guidance and basic training to students and faculty on clinical education systems and processes, as appropriate
Compliance, Accreditation, and External Coordination
- Assist with accreditation support activities, including data collection, documentation, and reporting
- Coordinate with finance and administrative offices regarding clinical education related invoices and audits
- Prepare and provide required documentation to external partners and clinical sites as needed
- Serve as a liaison between academic programs, university offices, and external clinical education partners
Additional Responsibilities
- Provide general student support related to clinical education processes and requirements
- Complete special projects and additional duties as assigned to support the effective operation of the School of Behavioral & Health Sciences

Education: Associate degree, technical certificate, or equivalent education OR an equivalent combination of education and related experience
Work Experience: Experience in administrative support, healthcare education, higher education, clinical settings, or a related environment preferred
- Demonstrated ability to work effectively with technology and software systems used to manage records, data, and compliance
- Strong organizational skills and attention to detail, with the ability to manage multiple priorities and deadlines
- Effective written and verbal communication skills
- Ability to work collaboratively with faculty, staff, students, and external partners
- Commitment to confidentiality, accuracy, and professionalism
Skills and abilities:
- Professional demeanor, critical thinking, and ability to interact professionally with students, staff, faculty, and clinical partners. Positive and collaborative attitude a must
Preferred Qualifications
- Experience supporting academic programs, clinical education, or fieldwork coordination
- Familiarity with healthcare or allied health education environments
- Experience working with data tracking, record management, or compliance related processes
