La Jolla Country Day School is seeking a highly organized, detail-oriented, and community-minded Middle School Administrative Assistant to support the daily operations of our Middle School. What You’ll Do
Office & Division Operations
Support the daily operations of the division office, serving as the first point of contact for students, families, faculty, and visitors
Maintain the Division Head’s calendar, including meetings, events, and deadlines
Oversee attendance tracking, student sign-in/sign-out, and daily logistics
Ensure office systems, supplies, and workflows operate efficiently
Communication & Community Engagement
Serve as a liaison between the division and parents, faculty, and school administration
Draft, edit, and distribute division communications (emails, newsletters, announcements)
Respond to inquiries with professionalism, discretion, and timely follow-up
Contribute to a positive and inclusive division culture through clear communication
Student Records & Support
Maintain accurate and confidential student records, including attendance and academic information
Assist with scheduling, report cards, and student information systems
Support student needs as they arise, fostering a welcoming and supportive office environment
Faculty & Staff Support
Provide administrative support to faculty, including materials preparation and coordination of resources
Arrange substitute teacher coverage and maintain related records
Assist with onboarding and orientation of new faculty within the division
Coordinate faculty meetings, including agendas and documentation
Project Management and Event/Program Coordination
Manage, organize and support division projects and events such as parent meetings, assemblies, field trips, and special programs
Coordinate logistics including scheduling, communications, materials, and permission forms
Assist with transportation and event details in collaboration with faculty and staff
Act as the primary coordinator between the Middle School and other departments (e.g., Transportation, Facilities, and Communications) to ensure seamless logistics for all programs
Data & Administrative Support
Maintain and update division data in school information systems
Generate reports for the Division Head and administration
Process purchase orders, invoices, and reimbursements
Assist with tracking division budgets and expenses
Evaluate existing office workflows and design new, scalable systems to improve efficiency for faculty and student support

Qualifications
Bachelor’s degree preferred or equivalent experience
3–5 years of administrative experience, preferably in an educational setting
Strong organizational, multitasking, and time-management skills
Excellent written and verbal communication skills
High level of discretion and professionalism
Proficiency with office software and database systems
Ability to work both independently and collaboratively
Technical Skills
Working knowledge of Google Workspace and Microsoft Office
Ability to learn and utilize additional platforms (e.g., Blackbaud, OnRecord, Finalsite, Zoom, Apple TV)
Comfort navigating student information systems and administrative tools
Work Environment & Schedule
Full-time, in-person, campus-based role
Typical work hours are Monday-Friday from 7:30 am - 4:00 pm
Work performed in an office and school environment with typical interruptions and varying noise levels
Requires regular sitting, standing, walking, and movement across campus
Ability to lift up to 25 lbs and work at a computer for extended periods
Physical presence on campus is required to perform essential duties
Salary Range
$33.00 – $39.50 per hour. The salary offered to a successful candidate will depend on factors including experience, education, training, and relevant skills.
