This is a direct hire, full-time onsite position based in Elizabeth, NJ. 

Position Overview:

Scan Global Logistics supports Aid, Relief, and Government projects on a global scale, often operating in complex and challenging environments.

SGL is seeking a detail-oriented Freight Forwarder & Administrative Specialist to support our Aid, Relief & Government (ARG) logistics operations. This role is multifaceted and will include coordination of ocean export, cross-trade shipments, and limited air freight operations, along with administrative responsibilities such as billing, reporting, and documentation management. This position requires strong knowledge of international freight forwarding, export compliance, government and humanitarian logistics, and end-to-end shipment coordination. The ideal candidate will have experience working in fast-paced global logistics environments supporting time-sensitive and high-compliance shipments.

This role also offers a unique opportunity to help co-develop, shape, and build a growing department. The selected candidate will contribute not only to daily freight operations but also to establishing processes, workflows, SOPs, and operational standards as the department evolves.

Job Responsibilities:

  • Coordinate end-to-end ocean export, cross-trade, and air freight shipments within international logistics and freight forwarding operations.
  • Manage full shipment lifecycle including booking, routing, tracking, tracing, and delivery coordination.
  • Work closely with carriers, freight forwarders, NVOCCs, brokers, trucking companies, transloaders, warehouses, and suppliers to ensure timely shipment execution.
  • Handle export compliance documentation including AES filings, EEI submissions, ECTN documentation, and other regulatory export requirements.
  • Prepare, review, and process international shipping documentation including commercial invoices, packing lists, Bills of Lading (B/L), export declarations, and shipment files.
  • Ensure compliance with U.S. export regulations, customs requirements, trade compliance standards, and government/aid shipment protocols.
  • Provide accurate freight quotations and rate support for customer inquiries and government/relief shipment requests.
  • Perform billing, invoicing, cost tracking, and basic financial reconciliation for assigned accounts.
  • Maintain shipment visibility through Transportation Management Systems (TMS), ERP systems, and freight tracking platforms.
  • Provide high-level customer service support, including shipment updates, issue resolution, and escalation management.
  • Follow up proactively with customers, partners, and internal teams to resolve shipment delays, delivery issues, and operational exceptions.
  • Support continuous improvement initiatives by identifying process gaps, inefficiencies, and opportunities to improve logistics workflows and operational performance.
  • Escalate critical shipment issues to management in a timely and structured manner.
  • Perform additional logistics, administrative, and operational support tasks as assigned.

Qualifications & Skills

  • Experience in Ocean Export and/or Air Freight Forwarding operations, preferably within Aid, Relief, Government (ARG), NGO, or humanitarian logistics environments.
  • Strong knowledge of international freight forwarding processes, including shipment lifecycle management from booking through final delivery.
  • Ability to manage end-to-end shipment coordination, working closely with internal departments, carriers, freight forwarders, NVOCCs, vendors, customs brokers, and external stakeholders.
  • Strong understanding of export logistics, international shipping workflows, and cross-functional supply chain coordination.
  • Excellent attention to detail with strong organizational, documentation, and time management skills in high-volume environments.
  • Ability to work independently with minimal supervision while also collaborating effectively in a fast-paced global logistics or freight forwarding environment.
  • Adaptable and flexible in managing shifting priorities, urgent shipments, and time-sensitive operational requirements.
  • Strong customer service and client relationship management skills, with a focus on responsiveness, service quality, and shipment visibility.
  • Excellent problem-solving, critical thinking, and escalation management skills in logistics operations.
  • Strong verbal and written communication skills, including the ability to coordinate across multiple stakeholders and resolve shipment issues efficiently.
  • Strong active listening and requirements-gathering skills to accurately understand customer, carrier, and operational needs.
  • Knowledge of export documentation, shipping instructions, and international compliance processes (preferred).

Language Skills

  • Fluency in Spanish preferred. 

Technical Proficiency

  • Familiarity with freight forwarding systems (TMS/ERP), shipment tracking tools, and Microsoft Office (especially Excel for reporting and analysis).

Work authorization/security clearance requirements:

  • Must be eligible to work in the United States
  • Must pass TSA eligibility screening.
  • Must pass background screening. 

Job Type: Full-time

Work Location: Onsite

Schedule: 8-hour shift (Monday to Friday)

Pay: 28.84 - $31.25 Per Hour (subject to experience and negotiation)
