Job Description

The Education Site Supervisor is responsible for the daily oversight and operation of assigned Early Childhood education sites. This role ensures high-quality classroom instruction, regulatory compliance, staff supervision, and positive family engagement. The Education Site Supervisor provides leadership to education staff, promotes a safe and nurturing learning environment, and ensures the effective implementation of curriculum, assessment, and Head Start Performance Standards. This position models professionalism, integrity, and calm leadership while representing CAC and the Early Childhood Program to children, families, staff, and community partners.


Supervision and Site Operations

Estimated Effort: 40%

  • Complete all required tracking, documentation, reports, and essential records in a timely and accurate manner.

  • Plan and conduct monthly education staff meetings and individual IPP meetings with staff.

  • Provide orientation and ongoing supervision of new staff in accordance with agency policies and procedures.

  • Complete annual and probationary performance evaluations with appropriate management input and assist staff in developing Professional Development Plans.

  • Ensure general maintenance, safety, and security of facilities; assist with inventory of equipment and supplies.

  • Request and manage supplies to ensure uninterrupted service delivery.

  • Oversee the daily operation of assigned Early Childhood sites.

  • Handle confidential information in accordance with agency policy.

  • Participate in program planning and ongoing monitoring, including Program Self-Assessment, Strategic Planning, and Health & Safety Screeners.

  • Maintain professional, courteous, and effective communication with staff, families, and community partners.

  • Model teamwork, cooperation, professionalism, and calm crisis response at all times.


Monitoring, Compliance, and Curriculum Implementation

Estimated Effort: 35%

  • Assist with curriculum development, planning, design, and implementation.

  • Conduct on-site observations to monitor compliance with Head Start Performance Standards, Step Up to Quality (SUTQ), CLASS, CACF/USDA, and other applicable regulations.

  • Provide timely and constructive feedback to staff to support continuous improvement.

  • Schedule staff and assist with classroom ratio coverage when needed.

  • Monitor and submit required education reports, including progress reports, education home visits, transitions, calendars, attendance, leave usage, timesheets, and data entry.

  • Maintain children’s educational files and assist with maintaining Early Childhood staff files.

  • Initiate and coordinate child transition processes for children entering, transferring, or exiting the program.

  • Monitor ChildPlus to ensure accurate and timely data entry by staff.

  • Train and support staff in implementing developmentally appropriate curriculum.

  • Assist in maintaining up-to-date Early Childhood written procedures.

  • Utilize OCLQS and other required reporting systems.


Parent, Family, and Community Engagement

Estimated Effort: 15%

  • Build trusting, respectful relationships with families that honor values, beliefs, and caregiving practices.

  • Document relevant parent contacts in case notes in accordance with agency policy.

  • Encourage volunteerism and parent participation in classroom and program activities.

  • Promote strong family engagement across classrooms and on transportation services.

  • Support parents in their role as their child’s first teacher and assist families in advocating for their child’s needs with community agencies.


Service and Other Responsibilities

Estimated Effort: 10%

  • Remain accountable to the assigned supervisor for accuracy, attention to detail, and timely completion of work.

  • Assist with other duties as assigned to meet program and agency needs.

  • Adhere to all CAC policies, ODJFS and ODE licensing rules, and Head Start Performance Standards.

  • Maintain working knowledge of Community Action programs and community resources.

  • Participate in recruitment and enrollment activities to maintain full enrollment.

  • Immediately disclose criminal or traffic offenses that may affect agency insurance coverage.

  • Refrain from social networking during work hours unless program-specific.

  • Participate in committee assignments as assigned.

  • Assist in maintaining clean, organized centers, offices, kitchens, and supply areas.

  • Participate in professional development, including occasional overnight travel.

  • Maintain a professional, positive demeanor and model team commitment at all times.


Minimum Requirements

Education:
Associate degree in Early Childhood Education (ECE) or qualifying related degree.

Job-Related Experience:
Experience teaching infants, toddlers, or preschool-aged children.

People Management Experience:
This position requires supervisory and/or management experience.

Licenses, Certifications, and Accreditations:

  • Valid Ohio driver’s license

  • Reliable transportation and proof of insurance

  • Insurable under agency insurance policy

  • CLASS reliability required within twelve (12) months of employment

Other Requirements:

  • Physical exam and/or T-8(V) exam

  • Updated immunizations

  • Three professional references

  • BCI and FBI background checks

  • Signed Standards of Conduct form

  • Pre-employment drug test (CDL endorsement if applicable)

  • Ability to lift up to 40 pounds and work at child level

  • Adequate audio and visual skills to supervise young children


Preferred Qualifications

  • Bachelor’s degree or higher in Early Childhood Education

  • Coursework equivalent to an ECE major with infant/toddler and/or preschool teaching experience

  • Two (2) or more years of supervisory or management experience in an Early Childhood setting

  • Experience with childcare licensing rules and willingness to obtain Administrator Rules Training

  • Training or experience with Parents as Teachers (PAT), Partners Interacting with Infants (PIWI), HighScope, COR Advantage, and Conscious Discipline

  • Experience supporting staff through CDA credentialing

  • CDL with School Passenger endorsement


Working Conditions

This position operates in a well-lighted office and classroom environment and requires occasional local and regional travel for program engagement and training. Work is fast-paced and involves managing multiple priorities and projects, with moderate-to-high levels of stress.
