Job Description

Administrative Coordinator 

Summary:  The Early Childhood Supports and Services (ECSS) Administrative Coordinator is responsible for supporting the Child & Youth Team at engaging, supporting, and retaining ECSS and child/youth clients and their families as well as administratively supporting the Child & Youth Program Director with program management. The duties of this position are entry level, with direct supervision from an experienced Licensed Mental Health Professional. 



Position Type: Full Time, Non-Exempt

Essential Functions:

  • Assures client confidentiality and security of files 
  • Enters data in computer database and runs needed reports 
  • Handles routine correspondence, opens mail and handles mail outs and postage
  • Responsible for inventory records 
  • Coordinates office supply procurement
  • Answers multi-line telephone and directs calls to proper person, taking messages as needed; welcomes clients and visitors and assists with their needs 
  • Maintains office area in a clean and orderly fashion
  • Attends all required training and meetings 
  • Enter, update, and maintain accurate data in computer systems and databases
  • Review data for errors, inconsistencies, or missing information and make necessary corrections
  • Follow established data entry procedures and quality standards
  • Use data entry software, spreadsheets, and other office tools efficiently
  • Collaborate with team members to resolve discrepancies or improve processes
  • Use data entry software, spreadsheets, and other office tools efficiently (if applicable)
  • Assist Child & Youth Director with ongoing specialized assignments, complex projects and other duties as directed
  • Ensure initial intake documentation is completed accurately and entered into electronic health record
  • Conduct screenings and ensure completion of initial intake documentation
  • Perform routine administrative tasks such as filing, copying, faxing, etc.
  • Manage all clinical appointments

  • Ensure timely updates and data entry to keep records current

Supervisory Responsibility: No

Required Education and Experience: Bachelor’s Degree or High School Diploma is required. Must be proficient in standard office procedures and have experience working in all Microsoft Office software. Must have experience in basic accounting principles.
