Legal & Business Operations Assistant
Compensation: salary of $80,000 to $90,000, depending on experience and skills.
Based in our Santa Ana office, this newly created role offers a seasoned legal and executive support professional the opportunity to impact company operations at a high level. Blending legal, administrative, and analytical project work, you'll partner closely with the General Counsel ("GC") and Chief Operating Officer ("COO"), taking on increasing ownership and autonomy as you develop institutional knowledge.
This role is ideal for a proactive professional who brings the experience and initiative to shape their own workflows, refine responsibilities, and expand their impact as the position evolves. It requires full-time, in-office work in our Santa Ana office for a minimum of six months; after that, a hybrid schedule may be considered based on business needs and role alignment.
This position requires someone who is detail-oriented, highly organized, and comfortable shifting between routine administrative responsibilities and higher-level analytical tasks.
Key Responsibilities:
- Provide day-to-day administrative support to GC and COO, and periodic support for other members of the senior management team.
- Assist with legal document preparation, organization, and tracking (contracts, filings, correspondence).
- Assist with correspondence and communications between the GC/COO and various company departments and employees.
- Maintain organized records and file documents in the appropriate physical and/or electronic locations.
- Develop, update, and maintain operational reports.
- Assist in compiling and analyzing data related to operations, projects, and portfolio performance.
- Support special projects, including process improvements and internal reporting.
Qualifications:
- 5+ years of legal or executive administrative support experience.
- Strong proficiency in Microsoft Outlook, Word and Excel (data organization, basic analysis, reporting).
- Proactive approach to company operations and workflow.
- Strong written and verbal communication skills.
- Discretion and professionalism in handling sensitive information.
