Job Title: School Secretary


Department: School


Reports To: Principal


 


 


 


SUMMARY: Works under the supervision of the School Principal to perform a wide variety of moderately difficult clerical duties related to the operation of a school office and the performance of secretarial duties for an organized and efficient school office. 


 


ESSENTIAL DUTIES AND RESPONSIBILITIES


 



  1. Type memos, correspondence, bulletins, class lists, purchase orders, statistical reports, student records and other materials.

  2. Submit required reports with accurate data to state and federal agencies.

  3. Receive and place telephone calls, record messages with exemplary customer service.

  4. Maintain financial, statistical, attendance and other school records.

  5. Responsibly handle money, issue receipts, deposit money per District policy and procedures.

  6. Maintain a regular filing system.

  7. Process correspondence for staff and parents.

  8. Manage course scheduling and enter student schedules in Powerschool.

  9. Order relevant school and office supplies.

  10. Maintain a current school inventory and key distribution system.

  11. Request service as needed to maintain office equipment in good working order.

  12. Write student admittance slips, passes, homework requests.

  13. Maintain the confidentiality of the Principal and the staff.

  14. Maintain a school master calendar.

  15. With the school attendance clerk, oversee the registration of new students.

  16. Assist with school transportation matters as needed.

  17. Prepare a monthly calendar/newsletter to the school community.

  18. Greet the public in a courteous manner.

  19. Respond to inquiries from parents, students, teacher and administrators with information of routine nature.

  20. Assist staff as needed in school-wide projects and events.

  21. Schedule and organize student picture days.

  22. Fill in for the school medical assistant/attendance clerk as needed.

  23. Supervise the school office clerk (if applicable).

  24. Maintain file on use of buildings and equipment by staff and public.

  25. Follow district policies and procedures as adopted by the Governing Board.

  26. Perform other related duties as assigned by the Principal.


 


MINIMUM


QUALIFICATIONS:    


      


    1. High School graduate



  1. Experience working in a school or office environment

  2. Ability to work with others in a team effort

  3. Dependable

  4. Excellent organization skills

  5. Technical literacy

  6. Ability to work with children and adults


 


SCOPE AND SALARY:   


 


  220 day position as an at-will hourly employee based on the classified staff salary schedule, with holidays and benefits according to district policy.
