We are seeking a highly organized and proactive Office Supervisor in Winnipeg, Manitoba, Canada to oversee daily office operations and ensure a smooth workflow. The ideal candidate will possess strong supervisory skills, excellent communication abilities, and extensive experience in office administration. This role involves managing front desk activities, supervising staff, handling bookkeeping and payroll tasks, and coordinating vendor relationships to support the overall efficiency of the office environment. This role is positioned in a standard office environment and could oversee 2-6 individuals.
QUALIFICATIONS:
- Proven supervising experience in an office setting or administrative environment
- Computer proficiency is mandatory as well as excellent communication skills both written and verbal
- 5-10 years accounting experience or a degree in accounting would be desirable.
- Demonstrated organizational skills with the ability to manage multiple priorities effectively
- Familiarity with office software applications including MS Office Suite (Word, Excel, Outlook)
- Ability to manage team dynamics and foster a collaborative work environment
- Experience in a manufacturing environment would be an asset.
RESPONSIBILITIES:
- Manage all aspects of customer service, supporting staff, customer satisfaction, HR and accounting.
- Responsible for managing accounts payable, accounts receivable, vendor coordination, invoicing and office administration.
- Maintain organized filing systems and ensure accurate record-keeping for all office documents
- Assist clerical and support staff with assigned duties, particularly when more advanced, skilled, or sensitive work is required.
- Complete, prepare, and distribute various forms and reports; Compose, prepare, review, and distribute various documents.
- Assist with financial records and files such as reimbursement and expense vouchers.
- Maintain records, documentation, and files, particularly more complex or sensitive files such as employee files.
- Coordinate vendor management activities, including ordering supplies and managing service contracts.
- Work closely with the Operations Manager in regard to proper flow of orders from the front office to the plant.
- Schedule meetings and daily operations.
- Participate in budget preparation and administration.
- Evaluate and implement policies and procedures.
- Perform other related duties as assigned.
- Responsible for issuing discipline, assigning tasks, and controlling overtime.
- Ensure compliance with company policies and procedures while fostering a positive work environment.
- Provide training to new staff members and support ongoing professional development initiatives.
