Job Description


Position Purpose  

 The Supply Chain Administrator provides administrative support to the purchasing team, ensuring the smooth operation of procurement activities. This role involves coordinating purchases, maintaining records, and communicating with suppliers and internal stakeholders. 

 Essential Duties and responsibilities 

  • Create, process, and track purchase orders, ensuring accuracy and compliance with company policies.
  • Liaise with suppliers, respond to inquiries, and resolve issues related to orders, deliveries, and payments.
  • Maintain accurate and up-to-date records of purchases, orders, and inventory levels.
  • Enter purchasing data into the company's ERP system, ensuring accuracy and timeliness.
  • Generate reports on purchasing activity, supplier performance, and inventory levels as required.
  • Assist in managing contracts and agreements with suppliers, ensuring compliance with terms and conditions.
  • Monitor inventory levels, identify stock discrepancies, and notify the purchasing team.
  • Coordinate with internal stakeholders, such as logistics, finance, and operations, to ensure seamless procurement processes.
  • Responsible for following all established Vaupell policies, standard operating procedures and safety practices.  
  • Other duties as assigned

 Job Qualifications/Requirements 

  • High school diploma or equivalent required(GED)
  • 1-3 years of experience in purchasing administration or a related field
  • Strong organizational, communication, and analytical skills
  • Proficiency in ERP systems, Microsoft Office, and purchasing software
  • Ability to read, speak, understand and follow instructions in English
  • Must be able to wear and properly use the required personal protective equipment
  • Ability to work in a fast-paced environment and prioritize tasks effectively

Candidates must be a “US Person” (i.e. US Citizen or Permanent Resident) to ensure Vaupell's compliance with ITAR (International Traffic in Arms Regulations) and EAR (Export Administration Regulations) 

Environmental Condition 

While performing the duties of this job, the employee is frequently exposed to moving mechanical parts. The employee is occasionally exposed to fumes, airborne particles, and vibrations. The noise level in the work environment is usually moderate to occasionally loud. Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions.
