The Clinical Administrative Assistant / Scheduler / Residential Care Coordinator provides vital administrative and clinical support to ensure seamless daily operations of the community. This role coordinates resident care needs, maintains staff schedules, supports compliance with state regulations, and assists with on-call responsibilities. The position serves as a central link between residents, families, caregivers, nurses, and leadership to promote quality of care and organizational efficiency.

Key Responsibilities:

Administrative & Clinical Support

  • Maintain accurate and timely resident records, charts, and care documentation in compliance with DHS regulations and facility policies.
  • Prepare reports, correspondence, and communications for the clinical and administrative teams.
  • Support regulatory audits, inspections, and surveys with organized and accessible documentation.
  • Handle phone calls, emails, and inquiries from residents, families, staff, and providers with professionalism and discretion.

Scheduling & Staffing

  • Develop, maintain, and publish caregiver, nursing, and support staff schedules to ensure adequate coverage across all shifts.
  • Track staff availability, time off requests, call-ins, and coverage changes; adjust schedules as needed.
  • Communicate schedule updates and changes promptly to staff and leadership.
  • Collaborate with department heads to anticipate staffing needs and minimize overtime.

Resident Care Coordination

  • Serve as a primary contact for residents and families regarding care questions, service plans, and daily needs.
  • Coordinate with nursing and caregiving staff to ensure care plans are followed.
  • Facilitate communication between residents, physicians, and healthcare providers.
  • Monitor resident satisfaction and escalate concerns to leadership for resolution.

On-Call Rotation

  • Participate in the leadership on-call rotation to provide after-hours support to staff and residents.
  • Respond to urgent scheduling needs, staffing shortages, and resident care issues as they arise.
  • Provide guidance and escalation support to on-duty staff during emergencies or incidents.

Qualifications:

  • High school diploma or equivalent required; Associate’s or Bachelor’s degree in healthcare administration, nursing, or related field preferred.
  • Minimum 2–3 years of experience in healthcare administration, scheduling, or resident care coordination (assisted living, senior care, or healthcare setting preferred).
  • Strong knowledge of state regulations (e.g., DHS 89 for Wisconsin or applicable state codes).
  • Proficiency with scheduling software, EMR systems, and Microsoft Office Suite.
  • Exceptional organizational, multitasking, and communication skills.
  • Ability to remain calm under pressure, problem-solve quickly, and maintain resident-centered focus.
