Alpena Public Schools is accepting applications for a Secretary, K-12 Programs at Central Office.   Work days for this position is 254 days (12 months).

Qualifications 

An associate degree and three years of previous secretarial/office experience is preferred; High school diploma or GED, and one year of previous office experience is required.

SUMMARYUnder the direction of the Administrators in the K-12 Office, this role supports alignment, implementation & evaluation of curriculum, staff development, school improvement/ MTSS initiatives, data systems, special populations, and also assists in the oversight of State and Federal Programs. 

ESSENTIAL DUTIES AND RESPONSIBILITIES:  

  • Works with the staff regarding student attendance, scheduling, grade reporting, 504s, IEPs, and other functions, as needed for accurate student recordkeeping. 

  • Gathers and calculates FTE information for students, ensures correct data entry for student count purposes, calculates the educational setting, and updates fields in the student information system. 

  • Maintains special education student district roster, placement changes, and current provider lists. 

  • Monitors IEP due dates to ensure timely IEPs and uploads all IEP documents into the student information system.  

  • Assists with the preparation of state reports and compliance as needed. 

  • Maintains a district instructional assistant database with school and student assignments.

  • Gathers information and schedules all special transportation needs, verifies monthly invoices for accuracy, and communicates information to Dean Transportation. 

  • Maintains District Home-based/Homebound student database.  

  • Maintains confidentiality of records and student matters.  Follows FERPA regulations as it pertains to student information.

  • Utilizes Illuminate, Synergy, or other software, for recordkeeping and reporting. 

  • Assists with in-district staff development by communicating the scheduled, ordering of and distributing materials, creating end-of-workshop evaluations in Google Forms, communicating with presenters, ordering food, etc. 

  • Performs various clerical tasks, including but not limited to receiving/placing phone calls, taking messages, maintaining the filing system in Google Drive, processing incoming correspondence, etc.

  • Assists with state and local testing as required. 

  • Acts as the State Continuing Education Clock Hours (SCECH) Coordinator for the District, processing all professional development hours for teachers and administrators. 

  • Supports staff with state and federal grants as needed. 

  • Works collaboratively with building administrators and secretaries to assure efficiency in processes associated with the K-12 Programs Office. 

  • Coordinates the Besser Foundation mini-grants process. 

  • Interprets, applies, and follows District policies, school procedures, and regulations. 

  • Maintains regular and reliable attendance.

  • Reviews email communication regularly and responds as needed.

  • Performs other duties as assigned.

EDUCATION and/or EXPERIENCE

An associate degree and three years of previous secretarial/office experience is preferred; High school diploma or GED, and one year of previous office experience is required. 

 

TECHNOLOGY SKILLS

Must have a strong understanding of, or be willing to learn and utilize regularly, Synergy, Google Suite, Excel, and graphic displays of data.  Must be comfortable in learning data systems, software, and applications as deemed necessary. 

LANGUAGE SKILLS:  

Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals.  Ability to write routine reports and correspondence.  Ability to speak effectively to parents, staff, and community members.  Ability to speak effectively before groups of employees of the organization. 

MATHEMATICAL SKILLS:  

Ability to calculate figures and amounts such as discounts, interest, commissions, proportions,  percentages, area, circumference, and volume.  Ability to apply concepts of basic algebra and geometry. 

REASONING ABILITY:  

Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists.  Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form. 

OTHER SKILLS and ABILITIES

Must have strong communication and interpersonal skills.  Must have the ability to learn and utilize new software programs, including Word, Excel, and Google Suite, as systems are upgraded.  Typing is required with good grammar, spelling and punctuation skills.  Ability to establish and maintain effective working relationships with students, staff, and the school community.  Ability to communicate clearly and concisely, both orally and in writing.  Ability to perform duties with awareness of all District requirements and Board of Education policies.
