Function:
The Asset Coordinator is responsible for procuring subrental equipment lists, advising on pricing
and substitutions with Operations, and developing strong vendor relationships. This role includes
conducting pricing audits and notifying when inventory levels are low to initiate warehouse
checks. A successful Asset Coordinator is an effective communicator, highly organized, and has
a strong grasp of fiscal responsibility.
Essential Duties and Responsibilities:
• Assist the Operations team with financial forecasting for bids to ensure they stay within
budget, based on current market conditions and gear availability
• Facilitate internal gear transfers and provide recommendations for scheduling Boomerang
Trucks
• Ensure that sub-rentals are arranged and accurately entered in the production inventory
software to reflect overall availability and costs
• Help identify gear transitions between shows and support in detecting and resolving gear
shortages
• Create purchase orders for sub-rentals to submit to vendors and reconcile invoices
• Ensure that appropriate transportation is ordered, and vehicles/freight are properly
scheduled for all sub-rentals, in coordination with the Transportation Manager
• Build and maintain relationships with rental vendors and manufacturers
• Generate reports on frequently transferred and sub-rental items to recommend capital
improvements to the Operations Manager
• Collaborate with other Asset Coordinators to expand company's sub-rental network
• Stay informed about the latest and upcoming technology and equipment releases
• Will serve as the primary contact for lighting, rigging and heavy equipment sub-rentals,
and assist other Asset Coordinators with staging, backline, video, and miscellaneous site
needs as demand fluctuates.
• Create and maintain a sub-vendor catalog for cross-rentals
• Available for emergency calls to address broken gear and develop a strategy for on-site
replacements

Skills and Qualifications:
• Five (5) years' experience in production entertainment industry
• Deep knowledge and understanding of company's lighting and rigging inventory
• Ability to work in high stress environment with tight deadlines
• Availability outside of normal business hours
• High school diploma or equivalent
Physical Working Conditions:
• Regularly bend, twist, stretch, push, pull and carry, lift 50-75 lbs.
• Sit or stand for prolonged periods of time.
• Walk up and down stairs or ladders and comfortable with heights.
• Work in various temperatures and outdoor weather conditions.
• Work "on-call" as needed including some nights, weekends, and holidays.
• Work long hours and overtime as required.
• Able to Travel (possibly with short notice).
