    Location:          Uinta County School District #1, Evanston, Wyoming

    Salary:              S2; 4-7; $18.00 per hour; regular full-time
     
    Hours:               8 hours/day; 5 days/week; 12 months

     Primary Job Function:

    The Uinta County School District #1 Administrative Assistant for Instructional Services and Federal Programs will serve as the hub for all activities emanating from the office of the Assistant Superintendent. The position will provide administrative support necessary for the effective operation of the Curriculum and Instruction Department as well as all Federal Grant Programs.

     

    Minimum Qualifications:

    • High School diploma or equivalent
    • Preferred, college-level course work in business, secretarial science or related field
    • Preferred, five (5) years of increasingly responsible secretarial or administrative assistant experience.

       

     Essential Duties and Responsibilities: Primary functions may include the following duties, responsibilities, skills, abilities, and other characteristics. This list of tasks is ILLUSTRATIVE ONLY and is not intended to be a comprehensive listing of tasks performed by all positions within this classification.

     

    Instructional Services

    • Responsible for ordering curriculum
    • Responsible for ensuring appropriate software is available to support curriculum
    • Responsible for managing textbook inventory
    • Responsible for sending appropriate numbers of textbooks to elementary schools
    • Responsible for prioritizing, coordinating and organizing all related office activities
    • Responsible for providing sound judgment on how to resolve questions, complaints or other issues
    • Responsible for organizing travel for staff related to Instructional Services or Federal Grant professional development.

     

    Federal Programs

    • Responsible for monitoring all documentation and expenses for Grant Programs
    • Responsible for ensuring all Grant guidelines were followed
    • Responsible for ensuring all expenditures align with Grant budget
    • Responsible for placing all staff orders for various Grant programs. This includes but is not limited to:
      • Placing orders with vendors
      • Creating requisition in Alio
      • Create a file once PO has been submitted
    • Responsible for creating expenditure and reimbursement reports in GMS
    • Responsible for uploading Grant documents into Title I Crate

     

    Budget and Finance

    • Responsible for creating monthly payroll memos
    • Responsible for creating budget amendments and journal entries to better reflect money expended as well as align with Grant requirements and individual school budgets
    • Responsible for matching expenses in Alio with expenses in Excel spreadsheets to ensure aligns with individual budgets

     

    Knowledge, Skills and Abilities

    • Knowledge of record-keeping techniques
    • Knowledge of office practices and procedures
    • Knowledge of Federal, State and local Grants available to schools
    • Knowledge of current trends in curriculum and instruction
    • Knowledge of English grammar, spelling and punctuation
    • Knowledge of basic mathematics
    • Knowledge of UCSD#1 policies and procedures
    • Skilled at effective verbal and written communication
    • Skilled in using logic and reasoning to identify the strengths and weaknesses of alternative solutions, conclusions or approaches to problems
    • Skilled in collaboration and decision-making, seeking consensus whenever possible
    • Skilled in conflict resolution
    • Ability to perform oral reading to students individually or in groups.
    • Ability to understand, apply and use personal computers and software applications (e.g., Word, Excel, PowerPoint)
    • Ability to handle behavioral situations in a calm and effective manner
    • Ability to maintain accurate records and write reports and logs
    • Ability to "think outside the box"
    • Ability to analyze situations accurately and adopt an effective course of action
