Position Overview

Haga Kommer is seeking an experienced and highly organized Lead Administrative Coordinator to support our Spring Lake Park tax office. This role is critical to ensuring smooth daily operations within a fast-paced, high-volume environment while providing exceptional service to both clients and internal teams.

This opportunity is ideal for someone with prior CPA firm or tax office administrative experience who thrives in a deadline-driven environment, enjoys client interaction, and takes pride in keeping operations organized and efficient.

This role also offers the opportunity to step into a stable, long-term position with training overlap and succession planning support.

Key Responsibilities

  • Organize, scan, and maintain client documentation and records
  • Assemble and distribute completed tax returns to clients
  • Process electronic tax returns and related administrative workflows
  • Answer and direct incoming phone calls professionally
  • Greet and assist walk-in clients with professionalism and excellent customer service
  • Manage incoming mail, data entry projects, and administrative support tasks
  • Prioritize and manage multiple daily responsibilities in a deadline-driven environment
  • Help ensure smooth day-to-day office operations during both standard and peak tax seasons
  • Support internal teams through proactive communication and coordination

Qualifications

  • 5+ years of administrative experience within a CPA firm or tax office strongly preferred
  • Ability to thrive in a fast-paced, high-volume work environment
  • Strong organizational skills and attention to detail
  • Excellent communication and client service skills
  • Comfortable handling sensitive and confidential information
  • Strong computer and technology skills with the ability to learn new systems quickly
  • Positive, adaptable, and team-oriented mindset
  • Ability to manage multiple priorities while maintaining accuracy and professionalism
  • Flexibility to work additional hours during peak tax season as needed

Experience with any of the following platforms is a strong plus:

  • Thomson Reuters Suite (UltraTax, Practice, GoFileRoom, FirmFlow)
  • SafeSend
  • Canopy or similar workflow/document management systems
