GPI is seeking a Project Administrator to support the Construction Inspection and Engineering departments within GPI’s Western New York Branch. This role involves support of project proposals, initiation, execution, and closeout. The ideal candidate is highly organized, detail-oriented, and comfortable coordinating closely with Project Managers throughout the project lifecycle. Responsibilities:
- Contract Administration including entry and maintenance of project data accurately and timely.
- Generate draft invoices for review by Project Managers.
- Coordination with Project Managers throughout the invoice development and approval process.
- Track invoice status and follow-through delivery of invoices.
- Coordination with Project Managers through project close-out, ensuring administrative and billing items are completed.
- Provide general office support.
- Support additional administrative or department-wide tasks as assigned.
Qualifications:
- Associate’s or Bachelor’s degree in Business Administration, Organizational Management, Accounting, Finance, or a related field preferred.
- 0 – 3 year’s experience in project administration, billing, accounting support, or administrative roles is preferred.
- Strong attention to detail with the ability to manage multiple tasks and deadlines.
- Proficiency in Microsoft Outlook, Word, and Excel.
- Experience with Deltek Vantage Point a plus.
Requirements
- Read, write, and understand plans and directions given in the English language
- Basic computer skills with the ability to create and edit Microsoft Word and Excel documents, create Outlook emails and utilize SharePoint and Microsoft Teams to communicate with other team members
