Job Description

Hiring Manager - Harvey Rivera

Salary Exempt Position

Key Responsibilities:

  • Promote safety culture through leadership and actions.
  • Plan, direct, and coordinate daily office administration and customer service activities.
  • Manage the flow of information with both internal and external stakeholders.  
  • Coordinate daily logistics activities.
  • Handle customer service inquiries and issues.
  • Guide, supervise, and evaluate the work of direct reports.
  • Clear and timely communication with customers.

Accountable For:

  • Creating a positive work environment and promoting safety, continuous improvement, and operational excellence. Cultivating a culture of constant compliance.
  • Clear, concise, and courteous verbal and written communications.
  • Office operations, including site access, reception, mail, billing, building maintenance, office supplies, light tech support, project coordination, event planning, and ordering employee uniforms.
  • Managing, as the point of contact for Corporate HR, recruitment, onboarding, drug screening, and corporate policy communications and administration. 
  • Overseeing new hire onboarding: paperwork, orientation, and manager communications.
  • Managing and processing goods receipts of raw materials and operating supplies, including daily invoicing and new vendor set-up.
  • Ensuring timely and efficient traffic flows in and out of all plant sites.
  • Collaborating with Production and Warehouse departments to manage production and truck schedules for efficient product delivery.
  • Verifying inventory of finished goods for daily shipments, ensuring compliance with regulatory guidelines.
  • Managing and coordinating year-end inventory capture. 
  • Ensuring Operations (incoming goods & loading) records are accurate, maintained, and accessible.
  • Receiving customer orders, processing, and coordinating for shipment, including sample orders.
  • Generating various operations reports needed
  • Managing and reconciling plant checking accounts.
  • Prepare site and records for FSMA audit readiness.

Supervisory Responsibilities:

  • Oversee day-to-day activities of direct reports in line with department goals.
  • Consistently apply all applicable local and regulatory guidelines.
  • Communicate and establish clear goals and deliverables for direct reports and the department.
  • Provide ongoing, constructive feedback for assigned staff.
  • Handle employee discipline according to company policy.

Education, Experience, and Certifications:

  • Associate or Bachelor's degree in Business Administration, Supply Chain, Logistics, OR equivalent work experience.
  • At least 1 year of supervisory experience.
  • At least 3 years of progressive administrative and clerical experience in a light industrial, packaging, or production environment.
  • Demonstrated proficiency in Microsoft Office (Outlook, Word, Excel, Teams, PowerPoint). 
  • Demonstrated proficiency in SAP or other ERP software.
  • Familiarity with DOT and safety regulations

Experience may be substituted for education with the following adjustments.

  • 3 years supervisory experience
  • 5 years of progressive administrative and clerical experience in a light industrial, packaging, or production environment.

Preferred Qualifications

  • Degree in HR or business.
  • Prior HR, Customer Service, or Logistics experience
  • Packaging plant experience
  • Certifications in CAP, Lean Sigma, Six Sigma, HAACP, FSMA, and/or JIT.

  • Administrative systems proficiency (timekeeping/payroll and web-based tools such as E-Time Sheet).
  • Interpret technical documentation (manuals, diagrams, schedules) and produce clear routine reports and work documentation.
  • Applied math and production reconciliation (production metrics; shipped/received totals).
