Expense Administrator
The Expense Administration function is part of the Varonis Finance team and plays a critical role in ensuring accurate, compliant, and timely processing of employee expenses across all regions and entities. In this role, you will partner with Finance, HR, Legal and regional leadership teams to review, validate, and approve expenses submitted through Navan in accordance with company policy, local regulations, and currency requirements.
Our ideal candidate is highly detail-oriented, proactive, and able to communicate clearly and professionally across the organization. This team member will be motivated to improve and streamline processes, support policy adherence, and contribute to light analytical work that enhances visibility and efficiency within the expense workflow.
 
Responsibilities
• Review and approve daily employee expense submissions in Navan, ensuring compliance with Varonis policies, regional guidelines, and entity-specific requirements.
• Validate accuracy of receipts, currency conversions, and expense categorizations.
• Identify unusual, non-compliant, or highrisk items and escalate when necessary.
• Serve as a point of contact for employees with questions related to expense policy, reimbursement timelines, and Navan system usage.
• Maintain strong documentation and audit trails for all reviewed expenses.
• Collaborate with Finance and HR teams to support policy updates, process improvements, and crossfunctional initiatives.
• Assist with light analytical tasks, including expense trend reviews and basic reporting using Excel.
• Support additional adhoc requests and responsibilities as needed.
 
Requirements
• Bachelor’s degree.
• Exceptional attention to detail, accuracy, and followthrough.
• Strong written and verbal communication skills.
• Excellent organization, prioritization, and problemsolving abilities.
• Ability to work independently while building strong relationships across the business.
• Experience with Navan or other expense management systems — preferred.
• Basic Excel knowledge (VLOOKUP, Pivot Tables) — preferred.
• Fluent in English (writing and speaking).
