Airport Document Control Job Description
An Airport Document Control role is responsible for managing, organizing, and maintaining all official and technical documents essential to airport operations, compliance, and safety. This position ensures that documents are accurate, up to date, and accessible to authorized personnel while meeting regulatory and internal standards.
Key Responsibilities
- Document Management: Oversee the storage, retrieval, and distribution of critical aviation and airport-related documents, including manuals, certificates, maintenance records, engineering drawings, and compliance records
- Compliance Monitoring: Ensure all documents meet aviation regulatory standards (e.g., FAA, EASA, ICAO) and organizational policies
- Revision Control: Track and implement updates or revisions to documents, maintaining version control and historical records for audits and inspections
- System Maintenance: Maintain and update electronic document management systems (e.g., SharePoint, Aconex, PDMS) and ensure proper access controls and naming conventions
- Audit Support: Conduct regular audits to verify document accuracy, version control, and compliance
- Project Support: Assist in preparing templates, formatting project documentation, and ensuring adherence to the Document Management Plan for airport projects
- Training & Guidance: Provide training to staff on document control systems and processes, and act as a point of contact for document-related queries
- Confidentiality & Security: Maintain confidentiality of sensitive documents and protect privacy during record requests
- Administrative Duties: May include reception, visitor sign-in, and support for other departments
Essential Skills & Qualifications
- Education: High school diploma or equivalent; records management or aviation-related experience preferred
- Experience: 2+ years of clerical or records management experience; 3+ years in aviation or airport document control is ideal
- Technical Skills: Proficiency in document management software, scanning equipment, and Microsoft Office; familiarity with aviation regulations and systems
- Organizational Skills: Strong attention to detail, time management, and ability to handle multiple priorities
- Communication: Effective written and verbal communication skills for collaboration with engineers, maintenance teams, and regulatory bodies
- Compliance Knowledge: Understanding of FAA, EASA, ICAO, and other relevant aviation standards
Requirements: Must have 5+ years working in airport construction, must live in SO CAL this is an on-site role. Must have good computer and technical skills.
