Job Description

Guardian has a need for a Full-Time Building Assistant to join our team at Orchards at Orenco I, II & III!

Orchards at Orenco is a 167-unit apartment community in Hillsboro, OR.

The Building Assistant will provide outstanding customer service to the residents, coordinating communication between departments and between residents and Community Manager, serve as a contact person for residents’ family members or legal representative, and assist with facilities/maintenance tasks during off-peak times. The Building Assistant will clean facility common areas and residential apartments as needed at turnover and other areas as needed by community manager.

The Building Assistant will support the area Community Manager’s efforts to ensure that the property meets all ownership goals and objectives, to enforce Guardian Management policies and procedures, and to adhere to Fair Housing and Landlord Tenant Laws at all times. 

We are willing to train the right individual, so this is an excellent entry level opportunity for individuals interested in a career in property maintenance.

Schedule: 40 hours / week, Monday - Friday 8:00 AM - 5:00 PM. 

Compensation: DOE + bonus potential!

Minimum Qualification Requirements:

The requirements listed below are representative, but not exclusive of the knowledge, skill and/or ability required.

  1. High school diploma or GED.
  2. At least one year of experience working in customer service, sales, marketing or a college degree in a related field.
  3. Excellent attention to detail and organizational skills.
  4. Strong mathematical skills.
  5. Ability to speak, read and write in English.
  6. Ability to communicate effectively and in a timely manner; both verbally and in writing. 
  7. Able to complete company training requirements for this position within pre-determined deadlines and attend other training sessions as required.
  8. Previous cleaning or janitorial experience, a plus

Essential Functions:

To perform this job successfully, an individual must be able to perform each essential function satisfactorily with or without reasonable accommodations.

  1. Represent Guardian in a positive and professional manner at all times.
  2. Support Community Manager’s efforts to assure that the company’s efforts fully meet and exceed property management obligations.
  3. Work in compliance with all local, state, and federal laws (Fair Housing, Landlord Tenant Laws, OSHA, etc).
  4. Coordinate communication between all various departmental functions ensuring an efficient flow of operations and compliance.
  5. Interacting and assisting with residents: recording work orders, referring questions/requests to appropriate administrative person or department.
  6. Walk building to assume security, lock doors & close office in evening or as needed by community manager. 
  7. Walk property grounds daily to ensure grounds are clean and property has excellent curb appeal.
  8. Walk common areas daily, clean and maintain all common areas.
  9. Maintain common areas, entryways and dumpster/recycling areas.
  10. Alert supervisor of any potential liabilities or repairs. Identify property problems and repairs needed in the areas of structural, electrical, plumbing, and appliances.
  11. Under the direction of the Community Manager or Maintenance Supervisor and (if applicable) with the assistance of other Maintenance Staff, respond to all service requests and complete all Work Orders and assist with Apartment Turnovers in a timely and professional manner in accordance with Guardian’s policies and procedures.
  12. Under direction of the Community Manager, assist as back-up for tours, marketing, and some social events.
  13. Exercise professional judgment in assessing and effectively communicating any changes in resident's behavior or physical condition in a timely fashion and accurately and completely document all such changes within the required documents to all appropriate staff and other legal representatives for each resident.
  14. Under direction of the Community Manager, maintain accurate and appropriate records for each resident, prospective resident, and employee, treating all as confidential. 
  15. Assist with basic maintenance tasks (toilet flow, cleaning, recycling, etc.) as necessary during off-peak times. 
  16. Follow confidentiality guidelines for all resident, property, owner, and Guardian information at all times.
  17. Accurately record time worked, adhere to time keeping guidelines including approving site staff time records on a daily basis. 
  18. Represent Guardian Management and the elder community in a professional and ethical manner in the community.
  19. Establish and maintain collaborative working relationships between departments and with coworkers. 
  20. Constantly strive for improvements in work process and results to better meet resident needs, ownership goals and objectives, and company standards and expectations.
  21. Liaison with corporate departments to provide a team approach to the management of the property.

  24. Clean common areas and resident apartments according to schedule, including but not limited to the following responsibilities:
    1. Vacuuming carpets and spot cleaning as needed.
    2. Cleaning ceilings and walls.
    3. Dusting furniture, shelves, light fixtures and other surfaces.
    4. Cleaning bathroom, including shower stall, sink, toilet, counter, and floor.
    5. Cleaning kitchenette, including sink, counter, refrigerator and floor. 
    6. Defrost refrigerator as needed.
    7. Remove trash as needed.
    8. Cleaning windows as directed. 
    9. Deep clean resident apartments according to schedule.
    10. Mopping floors.
    11. Cleaning windows as directed. 
  25. Other duties as assigned by the Community Manager or Regional Property Manager.
