Customer Service Coordinator

 

JOB SUMMARY 

 

The Customer Service Coordinator is responsible for accurately and efficiently processing customer orders for all company products and services across all brands and locations. This role ensures timely order entry, maintains key customer data, and supports internal teams to promote a seamless customer experience. The coordinator plays a vital part in maintaining service excellence by ensuring accuracy, efficiency and strong communication throughout the order cycle.

 

ESSENTIAL JOB FUNCTIONS

 

·       Enter all customer orders on the same day they are received.

·       Verify that all received orders have been accurately entered into the system.

·       Review and validate accuracy of each order, including product details, quantities, pricing, and customer information.

·       Set up and maintain Customer Cross-Reference files to ensure seamless product and data linking.

·       Set up and maintain Customer ship to files and routing specifications in Epicor customer maintenance.

·       Follow Colson Group Terms and Conditions in all order-related activities.

·       Identify opportunities to improve accuracy and efficiency within order processing workflows.

·       Use Microsoft Office (Word, Excel, Outlook, Teams), Epicor, CRM (SalesForce, Conexiom and office equipment effectively.

·       Assist other departments with clerical tasks as needed.

·       Maintain positive working relationships with customers, agencies, and coworkers to reinforce a strong, professional service image.

·       Other duties as assigned.

·       Review and validate accuracy of completed orders from the Orders for Review queue in SalesForce.

 

EDUCATIONAL REQUIREMENTS

·       High school diploma/GED required

 

EXPERIENCE

  • Previous data entry or account management experience preferred.
  • Experience utilizing the phone and web based technologies.
  • Excellent communication skills (oral, written, presentation).
  • Must be an organized and detail-oriented individual with a proven ability to manage and prioritize multiple responsibilities.
  • Proficiency in Microsoft Office and CRM software
