Job Description

Summary:

The HR Coordinator plays a critical role in strengthening Virtual's global people operations infrastructure, dedicated to HR's client-facing work. This position provides end-to-end operational support across the employee lifecycle, ensuring accuracy, compliance, data integrity, and a seamless employee experience.

With 1-3 years of progressive HR experience, the HR Coordinator operates with sound judgment, strong attention to detail, and the ability to support core processes including onboarding, performance cycles, compliance tracking, payroll support and recruitment operations.

As our client continues to scale across regions and regulatory environments, this role ensures disciplined execution, audit readiness, and operational consistency.

 

Preference for local candidates to work out of our Wakefield, MA office 3 days/week.

 

Here's what you'll do:

 

Employee Lifecycle and People Operations

  • Support operational execution of employee lifecycle processes from hire through separation
  • Support onboarding and offboarding operations including cross functional coordination, documentation, systems access, and policies/compliance tracking
  • Maintain accurate and audit ready employee records including job descriptions, job changes, compensation updates, employment documentation, and policy acknowledgements
  • Ensure organizational charts, contact lists and HR systems reflect current and reliable workforce data
  • Support coordination of Rewards & Recognition programs
  • Coordinate compliance administration for international travel
  • Identify inefficiencies and recommend process improvements that strengthen controls and scalability

Recruitment Support

  • Support recruitment workflow including job postings, applicant tracking, interview scheduling, processing of background checks through vendor and candidate communications
  • Assist in offer letter preparation and documentation accuracy in alignment with compensation approvals
  • Ensure compliance and data integrity within applicant tracking and hiring systems
  • Partner with HR Director to support a structured and consistent recruitment process

HR Systems, Performance and Compensation Administration

  • Serve as a knowledgeable resource for HR systems functionality and data reporting
  • Support performance review cycles, ensuring timelines, documentation, and system updates are completed accurately
  • Support the HR Director in compensation administration including year-end merit increases, bonus cycles, and off cycle adjustments
  • Maintain compensation records and ensure alignment between HR systems, payroll vendors, and internal approvals
  • Support payroll processing activities in partnership with internal stakeholders and external providers, including year-end activities and manual adjustments when required
  • Validate data accuracy across HRIS and payroll systems to minimize discrepancies and reduce risk

Compliance and Risk Mitigation

  • Support global compliance requirements audits, and country specific documentation in partnership with PEO/EOR providers and vendors
  • Maintain process documentation, trackers, and templates that reinforce governance and operational discipline
  • Monitor regulatory updates impacting HR practices and support implementation of compliant processes
  • Protect confidentiality and handle sensitive employee information with discretion and professionalism

Other

  • Provide operational support for client HR programs including internal staff trainings, quarterly global calls, employee engagement and other initiatives
  • Act as a reliable operational resource for day-to-day HR continuity and coverage needs
  • Provide support to wider PCI-Virtual team, as needed

 

As our next Human Resources Coordinator, you will bring:

  • 1-3 years of progressive experience in Human Resources, People Operations, Office Management or HR Administration
  • Microsoft Office experience, including PPT, Excel, Outlook and Teams
  • Working knowledge of payroll processes and HRIS systems
  • Basic understanding of compliance requirements and documentation standards preferred
  • High attention to detail with the ability to manage multiple deadlines
  • Ability to exercise sound judgment and maintain confidentiality
  • Strong written and verbal communication skills
  • Proactive, solution-oriented mindset with a continuous improvement mindset

 

The target hiring range for this role is $50,000 - $60,000 USD (annually). The starting base salary will be determined based on skills, experience, location, and other job-related factors.
