ABOUT THIS POSITION

You'll join a mission-driven team dedicated to empowering human dignity. Though our Catholic faith guides our work, you do not have to be Catholic to join our team or receive services. As Juan Diego Program Assistant, you will serve as the welcoming face of the Juan Diego Center — a vital hub of connection, coordination, and care for the clients and communities we serve.

Reception & Client Relations

  • Manage the reception area and operate the JDC switchboard, serving as the first point of contact for clients and visitors.
  • Answer incoming calls, return messages, manage the voicemail system, and distribute all incoming mail.
  • Provide general, non-legal case updates to client inquiries and offer information regarding resources and referrals.

Program Support & Scheduling

  • Assist with the collection, entry, and reporting of Program Services data across Immigration and Microbusiness programs.
  • Coordinate scheduling for Immigration consultations and Microbusiness class enrollments.
  • Assist programs in meeting management deadlines using reminder systems including eImmigration and Outlook Calendars.

Financial Transactions

  • Accept and process client payments for program fees, specifically for Immigration and Microbusiness services.

Administrative & Event Support

  • Provide secretarial support to Program Directors, including meeting logistics, announcements, and calendar management.
  • Collaborate with leadership to greet and support guests for on-site meetings and agency activities.
  • Perform other duties as assigned and maintain reliable attendance.

WHAT YOU BRING

  • Must be bilingual in English and Spanish with excellent oral and written communication skills in both languages. 
  • Proficient in MS Word, Excel, PowerPoint, and Outlook, as well as standard office equipment (fax, copier, etc.). 
  • Excellent interpersonal behaviors and the ability to represent the organization professionally with diverse populations.
  • High level of agility to prioritize multiple tasks and manage details while meeting deadlines. 
  • Ability to maintain strict confidentiality and discretion with sensitive material, adhering to all PHI/PII policies. 
  • Knowledge, understanding, and support of Catholic Social Teachings, as well as the agency's mission, vision, and Code of Ethics. 
  • Demonstrated sensitivity to the service population's cultural and socioeconomic characteristics. 

EXPERIENCE & EDUCATION

  • Work Experience: 2–3 years of secretarial, reception, or office experience preferred; prior customer service experience is preferred.
  • Education: High School Diploma or equivalent required.
