Job Description

About the Role

To directly manage and support a busy and efficient Urologic clinical and surgical practice.

What You’ll Be Doing

  • Physician Triage Support:

    • Answer incoming patient calls and clinical questions

      • Use clinical judgement to answer patient questions

      • Involve or notify MD if clinically relevant or needed

      • Direct patient as to next action needed

      • Work with available mid-levels

    • Manage patient portal communications

    • Call patients with lab and imaging results

      • Be able to explain and answer questions regarding results

    • Manage physician schedule

      • Coordinate clinic and surgery time

      • Assist with days out and vacation time scheduling

      • Assist with work-in patients and time back in office

      • Assist with scheduling new and work-in patients

    • Misc

      • Assist with pre-certification of imaging and medications

      • Assist and coordinate FMLA

      • Assist with professional communication with other practices and health care facilities relating to referrals, imaging, medical records

      • Work and thrive in a team environment with other clinical staff

      • Integrate with other triage and surgery scheduling when appropriate.

  • PAQ

    • Review and prep results in PAQ for physician review

    • Coordinate with physician follow-up notification and action of results

    • Schedule additional appointments and testing based on results with appropriate coordination, precertification, referrals

  • Surgery Scheduling

    • Schedule inpatient and outpatient procedures for physician practice

    • Coordinate dates of procedure with patient and physician

    • Coordinate pre-op work, testing, and clearance

    • Oversee communications to family and patient regarding surgery process

    • Pre-certification

    • Oversee necessary record and health information transfer to hospital and surgery center

    • Prepare history and physical surgical consent, relevant clinical information for day and procedure

    • Coordinate post-operative follow-up appointments and any additional imaging/testing

    • Assist with management and collection of imaging date

  • Maintain patient safety and confidentiality at all times.

  • Maintain communication with front desk regarding physician schedule.

  • Attend required annual training for OSHA and CPR training.

  • Other duties as assigned.

Education and/ or Experience

  • Medical Assistant, LPN, or RN Certification preferred.

  • One - two years previous clinical experience recommended.

Language Skills

Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals.  Ability to write routine correspondence. Ability to speak effectively before individuals or groups of people.

Mathematical Skills  

Ability to calculate basic figures and amounts.  Ability to apply concepts of basic algebra and geometry.

Reasoning Ability

Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.

Computer Skills

To perform this job successfully, an individual should have thorough knowledge in computer information systems.

Work Environment

This job operates in a professional office environment.  This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.

Travel

Travel is primarily local during the business day, although some out-of-the-area and overnight travel may be expected. This position is required to travel with their assigned physician to their work location.

Position Type/Expected Hours of Work

This is a full-time position.  Days and hours of work are Monday through Friday, approximately 8 hours per workday.  Occasional evening and weekend work may be required as job duties demand.
