To drive continued success in this exciting clinical research field, we are seeking a committed, skilled, and customer-focused individual to join our winning team as a Contracts and Proposals Associate for our Toronto/Markham, Ontario, Canada on-site location.
Contracts and Proposals Associate:
The responsibilities of this position encompass two areas – proposals and contracts administration duties and research/operations assistant back-up duties. The Proposals and Contracts Associate role will be primarily responsible for providing data entry and custodial oversight of internal libraries and data related to the Business Development, and Proposals and Contracts functions, and clerical services to the Business Development and Proposals and Contracts groups. With additional time available the incumbent will perform tasks assisting with development of proposals and contracts, and back-up support for the Research/Operations Assistant. All tasks are performed in a timely and accurate manner to ensure high level quality and productivity.
Key Accountabilities:
- Maintains libraries of content required for proposals development, such as the RFI library, team members profiles, case studies, and other templates and folders on the internal shared drive.
- Supports data entry of new opportunities and bookings (new Work Orders and change orders) into Salesforce.
- Sets-up study programs and timesheets in Workfront.
- Accountable for completeness of the information in the Master Project Information Report by ensuring project information captured in Salesforce and Workfront is complete.
- Provides ad hoc proposal and operational reports to Proposals, Business Development, and Finance team members. These reports may be generated in Salesforce or Workfront.
- Supports preparation of RFI responses, including using the RFI library and engaging and coordinating with Functional Leads for additional responses.
- Supports preparation of proposal documents and bid defense slide decks using templates provided, including drafting and curating new employee profiles to match the RFPs targeted therapeutic area, and drafting and summarizing experience tables and graphics for RFPs and RFIs.
- Supports preparation of cost estimates, using templates provided.
- Supports preparation of Work Orders and change orders, as needed.
Research/Operations Assistant Back-up:
- Provides out-of-office coverage for the duties of the Research/Operations Assistant that cannot be delayed until the Research/Operations Assistant returns to office.
- Provide ad hoc administrative support in a timely manner for Senior Personnel of the company.
- Greet and direct visitors to the office.
- Coordinate logistics for client visits, conferences, employee meetings, and social/wellness events. Coordinate logistical planning and execution activities include catering, activity coordination, and travel arrangements.
- Maintain a tidy and pleasant office environment by monitoring the overall airflow, temperature, lighting, clock time, proper alignment of furniture and wall art, etc. Maintain Facilities Task Tracker.
- Provide MS Outlook and Standard Folder orientation training for new employees.
Qualifications and Experience:
- Bachelors’ degree in health science, physical, or biological fields.
- CRO experience preferred.
- Past experience in an office administration role is an asset.
- Education or experience must demonstrate the ability to work independently and to apply data management concepts, clinical trial data processing techniques, and logical and algebraic operations.

Estimated Salary Range: $50,000 - $70,000 CAD
