The Manager of Training Administration is responsible for overseeing the planning, coordination, and execution of flight crew training for a large, complex aircrew population. This role leads a team of Aircrew Training Coordinators and works cross-functionally with pilots, training vendors, finance, records, and flight department leadership to ensure training is delivered safely, efficiently, on schedule, and within budget.
Key Responsibilities
- Lead and manage a team of Aircrew Training Coordinators responsible for scheduling and administering training for all flight crewmembers
- Evaluate staffing levels and workload distribution to ensure the training coordination team is properly resourced
- Develop and manage comprehensive training schedules that align with company objectives, projected demand, crew-to-aircraft ratios, and anticipated attrition
- Forecast training needs and allocate internal instructors and external vendor capacity accordingly
- Serve as the primary liaison with training vendors, building and maintaining long-term, effective partnerships
- Oversee all training administrative functions, ensuring accuracy, consistency, and compliance
- Ensure timely communication to crews regarding upcoming training events and requirements
- Troubleshoot and reschedule training events when disruptions occur due to illness, operational changes, or other unforeseen circumstances
- Assist in reconciling training-related invoices, including oversight of approximately $40M+ in annual training spend and resolution of billing discrepancies
- Collaborate closely with finance, records, and operational stakeholders to ensure accurate tracking and reporting of training activity
- Conduct project planning and research in support of training and standards initiatives
- Drive continuous improvement by researching and implementing more effective training scheduling and administrative processes
- Perform additional duties as assigned in support of training and flight operations objectives
Qualifications
- Bachelor�s degree in aviation management, Business Administration, or related field preferred; equivalent work experience accepted.
- Minimum 1�2 years of administrative or HR support experience, aviation industry exposure preferred.
- Strong Excel and data management skills.
- Excellent attention to detail, organizational skills, and ability to manage multiple tasks.
- Professional communication skills with ability to handle sensitive information discreetly.
