Position Overview
This role serves as the front lines, first point of contact for individuals seeking food assistance. As the Neighbor Services Receptionist, you provide administrative support, excellent customer service, and overall coordination between client entry points (helpline and walk-ins) and all Central Texas Food Bank (CTFB) client programs. This position serves as the primary front-desk representative and first point of contact for neighbors, conducting client intake for the market, managing helpline inquiries, and providing information, screening, and referrals. This role interacts with diverse populations to help support CTFB’s mission to nourish hungry people and lead the community in the fight against hunger.
Relationships
Building and maintaining collaborative and meaningful relationships is a core component of this position. Reporting to the Neighbor Services Manager within the Neighbor Programs + Services department, this position needs to nurture strong connections with colleagues on various teams, especially Benefits and Enrollment Services, Workforce Training, Community Nutrition, Food Sourcing, and Logistics to ensure appropriate and efficient connections to services for our neighbors. Proven and demonstrated professionalism and effective communication skills to achieve goals are necessary for this role.
Requirements
Your Qualifications
Bilingual in English and Spanish required
High School Diploma or equivalent required
2+ years pf experience providing administrative or staff support
Strong customer service skills and willingness to assist others as well as interpersonal skills for working with staff, leadership, and external contacts.
Ability to organize and manage multiple projects with attention to detail and accuracy while adhering to deadlines in a high-energy, fast-paced environment.
Basic understanding, familiarity, and sensitivity to hunger and poverty issues, empathy and sympathy for others
Exercise good judgement and discretion; strong ethical character capable of handling confidential information
Proficiency using Microsoft Office Programs, such as Word, Excel, PowerPoint, Outlook, and the ability to quickly learn and navigate client intake software and other database systems.
Strong moral compass with commitment to improving the lives of those we serve in a dignified environment.

Your Responsibilities
Serve as the first point of contact for neighbors visiting the Fresh Harvest Market and Benefits & Enrollment Services in Waco, ensuring a welcoming and client-centered flow of traffic.
Manage and monitor the Neighbor Services waiting room and service queue for the Fresh Harvest Market and Benefits & Enrollment Services, ensuring efficient flow and clear communication.
Support Fresh Harvest Market operations as needed, including stocking inventory, assisting neighbors during service, and helping maintain a clean, organized, and welcoming facility.
Manage high volume of incoming calls and in-person visitors, respond promptly and courteously to neighbors seeking SNAP application assistance, access to the Fresh Harvest Market and other internal or community resources. Utilize the language line to facilitate client calls when necessary
Screen neighbors for eligibility and connect them to appropriate CTFB programs and immediate food resources, including the Fresh Harvest Market, mobile distributions, nutrition education, workforce programs, and other services through cross-departmental collaboration.
Deliver client services from a trauma-informed, strength-based service delivery model.
Perform data entry, appointment scheduling, online inquiry response.
Pull reports and prepare required documentation for client appointments when needed.
Assist in the preparation of reports, data gathering, and completion of goals, metrics, and deadlines.
Ensure that all files, client records, and organizational documents are stored confidentially and securely.
Represents CTFB at community events, food pantry sites, and mobile distributions to support Neighbor Services strategies and initiatives.
Commit to supporting CTFB’s mission, vision, values, and culture.
Support emergency response efforts as needed, including stepping into alternative roles or responsibilities during times of heightened demand or organizational need.
Perform other duties as necessary and/or requested, including utilizing language skills you possess for the benefit of the organization and its clients.
Working Conditions
Hours of Operation: Generally Tuesday through Saturday as follows:
Tues-Thurs: 10:30 AM to 7:30 PM
Friday: 8:30 AM to 5:30 PM
Saturday: 8:00 AM to 5:00 PM
Hours may vary, especially during peak times, disaster response, or holidays.
Environment: This position works in a typical office setting. There may be extended periods of sitting, standing and/or bending; listening, talking and/or visual concentration; writing and/or computer use.
Occasional work will occur in the warehouse or outside in inclement weather. The position also requires working independently and with others on a team.
Travel: CTFB serves 21 counties in central Texas and often requires same-day travel between counties, using a personal vehicle, CTFB passenger fleet and possibly occasional out of town travel for meetings, special events or meetings for some positions.
