Position:

A Private Advisor team within Rockefeller Global Family Office is seeking a highly detail‑oriented and process‑driven individual to join its growing team as a Client Associate. This role is focused on the accurate execution, administration, and operational support of client accounts, working closely with internal advisor team members and firm partners. The ideal candidate is meticulous, organized, and dependable, with a strong ability to manage complex workflows, reconcile activity across systems, and ensure accuracy in all aspects of account administration. Success in this role requires a high level of attention to detail, strong analytical and organizational skills, and a disciplined approach to task management in a regulated environment.



Responsibilities:
  • Open and maintain client accounts, ensuring all documentation is complete, accurate, and properly approved
  • Process asset transfers and money movement, including wires, checks, journals, and internal transfers
  • Complete and review investment subscription documents with a focus on accuracy and completeness
  • Support cash management activities, including required minimum distributions (RMDs)
  • Assist with setup and maintenance of client online access and account features
  • Monitor account activity and resolve discrepancies across custodial and internal systems
  • Manage operational aspects of accounts, including posting daily cash activity, entering trade instructions, and maintaining accurate records
  • Review daily activity and reconcile trades, cash movements, and prior‑day activity against clearing firm systems
  • Prepare and maintain organized client files and required regulatory documentation
  • Generate expense reports using Concur and support general administrative workflows
  • Assist in preparing internal reports, presentations, and documentation for advisor team use
  • Support team operations, office management needs, and internal coordination efforts
  • Attend required compliance and continuing education training
  • Perform additional operational or administrative duties as assigned


Qualifications:
  • Bachelor’s degree, with a business/finance/accounting focus preferred
  • 0-2 years prior client service experience within financial industry, preferred
  • Series 7 & 66 strongly preferred, and if not, willing to obtain


Skills:
  • Exceptional attention to detail with a strong focus on accuracy, consistency, and quality control
  • Ability to manage multiple tasks, prioritize effectively, and meet competing deadlines
  • Strong organizational skills and disciplined approach to process execution
  • Ability to analyze, organize, and reconcile data using Microsoft Excel
  • Solid understanding of investment products, account structures, and portfolio reporting terminology
  • Strong work ethic and sense of ownership over assigned responsibilities
  • Ability to work independently while collaborating effectively within a team environment
  • Strong written and verbal communication skills
  • Proficiency in Microsoft Office, particularly Excel and PowerPoint
  • Ability to adapt to evolving workflows, systems, and regulatory requirements
