DUTIES AND RESPONSIBILITIES
- Assists with asset, fleet, and facility management/maintenance programs.
- Drives company vehicles for official business to various remote sites.
- Assists with vendor coordination and security protocols.
- Works in fleet management software and assists in coordinating maintenance, repairs, and logistics.
- Coordinates and conducts vehicle inspections.
- Conducts inspections and creates tickets, as necessary.
- Coordinates document destruction/recycling program.
- Maintains electronic files and documentation for assets, fleet, facilities, vendors, contracts, purchases, meets, and other items.
- Maintains and monitors supply of inventory and orders stock, as necessary.
- Stocks, organizes, and prepares meeting rooms.
- Relieves Front Desk Administrative Assistant at reception for lunch daily and other times when needed.
- Answers, screens, and forwards incoming telephone calls while providing top-tier customer service.
- Serves visitors by greeting, welcoming, directing and announcing them appropriately.
- Monitors visit access and maintains security awareness.
- Receives, sorts, and distributes incoming mail. Prepares outgoing mail and coordinates the pick-up/delivery of express mail services (FedEx, UPS, etc.).
- Schedules and coordinates meetings, functions, events, and admin vehicle usage, as necessary.
- Supports and assists in setup of CEC events conducted at the facilities.
- Supports operations team members with varying tasks related to administration, asset management, and safety.
- Assists with Operations departmental processes procedures, and documentation.
- Compiles information and generates reports as needed.
- Participates in proactive team efforts to achieve departmental and company goals.
- Complies with all safety policies, practices, and procedures.
- Completes special projects and other duties as assigned.

MINIMUM REQUIREMENTS
- High school diploma or general education diploma (GED) and two or more years in relevant operations role, ideally having managed physical assets.
- Associate’s or Bachelor’s degree in relevant field preferred.
- Valid driver’s license and clean driving record.
- Ability to work independently and with a team.
- Ability to make day trips to local and regional offices.
- English language skills: ability to read and interpret documents such as correspondence, safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to effectively present information in one-on-one and small group situations to vendors, clients, coworkers, and other employees of the organization.
- Mathematical skills: ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals; ability to compute rate, ratio, and percent and to draw and interpret graphs.
- Reasoning skills: ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.
- Proficient personal computer skills including electronic mail, record keeping, routine database activity, word processing, spreadsheet, graphics, etc. Microsoft Office preferred.

PHYSICAL REQUIREMENTS
- Moderate physical activity performing somewhat strenuous daily activities of a primarily technical nature.
- Manual dexterity sufficient to reach/handle items, work with the fingers, and perceive attributes of objects and materials.
- Ability to sit up to eight hours per day.
- Ability to manipulate computer mouse up to eight hours per day.
- Ability to stand and walk over uneven surfaces of project site occasionally.
- Ability to bend, crawl and stoop.
- Ability to see clearly 20 inches or less and 20 feet or more; ability to identify and distinguish colors; ability to adjust focus.
- Ability to lift and move up to 25 pounds occasionally and up to 50 pounds intermittently.
WORK ENVIRONMENT
- Well-lighted, heated and/or air-conditioned indoor office setting with adequate ventilation.
- Moderate noise.
- Occasional exposure to dust, dirt, construction equipment (site visits).
- Frequent interruptions.
- Requires use of protective and/or safety equipment, as necessary.
WORK SCHEDULE
- Fixed schedule of 40 hours per week, Monday through Friday, including required core hours.
- Variable work hours as projects dictate; occasional overtime or weekend work required.
