JOB SUMMARY

The Receptionist/Office Assistant serves as the initial point of contact for individuals making contact with the ESC. The Receptionist/Office Assistant provides information to members of the general public, facilitates access to the building, directs individuals to appropriate ESC staff members, and provides directions to individuals attending meetings at the ESC. The Receptionist/Office Assistant implements and coordinates the background check program for the ESC and serves on the ESC safety committee. In addition, the Receptionist/Office Assistant assists with special projects for the Superintendent’s Office and, in coordination with the Superintendent’s Office, assists with special projects for various ESC administrative offices.

QUALIFICATIONS

  • High School diploma or its equivalent
  • Experience and proficiency with computer applications, including Microsoft Office; ability to learn computer systems
  • Working knowledge of basic office procedures and operation of common office equipment and machines
  • Ability to write and speak effectively, and ability to promote positive customer relations

ESSENTIAL FUNCTIONS

  • Answer incoming calls or greet visitors in accordance with established procedures; facilitate access to the building
  • Assist callers or visitors by providing accurate information and directing callers/visitors to appropriate location or staff
  • Serve as the first point of contact for deliveries
  • Fingerprint ESC staff, school district staff, community school staff, and members of the community for background checks
  • Prepare and maintain a variety of records, logs, and files of a confidential nature related to background checks; maintains confidentiality of information and records
  • Maintains an efficient and functional system of record keeping that ensures accurate and efficient retrieval of background check records
  • Collect credit card fees for various ESC programs (e.g., background checks; professional development; preschool tuition)
  • Monitor cameras for building security in both the building and parking lot
  • Ensures the workroom at the ESC is orderly and has adequate  supplies (e.g., paper, toner, laminating film)
  • Assist with the maintenance of available office equipment; clean machines and equipment; make minor repairs as needed; and arrange for service if necessary
  • Create staff ID badges and business cards for employees
  • Assist the Superintendent’s Office with coordination of the wellness program
  • Assist other support staff with special projects approved by the Superintendent or Director of Human Resources

ADDITIONAL DUTIES • Assist contractors with access to various locations in the
building when maintenance staff are unavailable
• Assist with meetings in the Conference Center as needed; assist
with scheduling meetings in the Conference Center
• Coordinate with other support personnel and technology staff
to ensure efficient and accurate completion of duties
• Attend and actively participate in all required/assigned training
activities.
• Seek opportunities to participate as a productive member of the
ESC on committees and/or work teams.
• Performs other duties as requested by the Superintendent or

• Knowledge of Ohio Department of Education & Workforce and
Ohio State Board of Education policies and regulations and
federal education policies and procedures that apply to areas
of responsibility (e.g., background checks; I-9 procedures)

• Strong organizational skills as evidenced by the ability to
complete tasks in an orderly and timely manner
