Reporting to the Pay-Master, the HR/Payroll Technician will independently manage payroll processing for Company employees. The position also involves participating in the onboarding of new employees within HR systems and ensuring employee records are kept up to date. The incumbent will prepare and validate payroll in compliance with policies, procedures, and working conditions applicable to both salaried and hourly employees. The role requires close collaboration with Human Resources leaders. Will work remotely on a 5-2 schedule with occasional visit to site.

Tasks and responsibilities                                        
• Consolidate and verify timesheets and consult with supervisors regarding any discrepancies; 
• Validate payroll registers prior to approval and payment processing; 
• Prepare and process employee payroll; 
• Contribute to payroll adjustment and special payment reports; 
• Collaborate on all payroll related activities (terminations, vacations, sick leave, etc.); 
• Produce and maintain payroll records; 
• Maintain up to date employee files; 
• Participate in the onboarding of new employees; 
• Contribute to the calculation and analysis of monthly overtime hours; 
• Assist the Pay-Master with the preparation of payroll journal entries; 
• Assist with the preparation of voluntary and mandatory payroll deductions and monthly remittances; 
• Participate in enrollments, changes, and terminations related to group insurance benefits; 
• Update various documents and prepare required reports; 
• Respond to employee inquiries; 
• Participate in year end payroll adjustment preparations and filing documentation, ensuring alignment with payroll policies and procedures; 
• Collaborate in the staffing process (job postings, application tracking, opening employee files, etc.); 
• Comply at all times with occupational health and safety and environmental policies and regulations;
• Perform any other tasks related to the HR and Payroll Technician position that are relevant to the success of the project.

Basic skills
• Strong communication, analytical, organizational, and attention to detail skills; 
• Ability to work with minimal supervision and to effectively prioritize and plan workloads in order to meet work requirements and deadlines; 
• Ability to work collaboratively as part of a team through cooperation, information sharing, and effective communication; 
• Strong written and verbal communication skills; 
• Excellent organizational and interpersonal skills; 
• Demonstrated sense of ethics and commitment to confidentiality at all times.

Technical skills
• Experience with a payroll system, preferably Payworks; 
• Proficiency with SAP and SuccessFactors; 
• Strong technical payroll knowledge, including relevant laws, policies, and regulations, and experience with Quebec payroll requirements; 
• Proficiency in Microsoft Office applications (Excel, Outlook, etc.).

Required Qualifications
• Diploma of College Studies (DEC), Diploma of Vocational Studies (DEP), or any other equivalent education; 
• Three (3) to five (5) years of relevant experience; 
• Certified by the Canadian Payroll Association (an asset); 
• Proficiency in French and English (the role will involve communicating with English-speaking employees).
